<p>Reporting to the Associate Director of Data Integrity, the Administrative Assistant provides primary administrative support to the Advancement Information Management team and will support additional Advancement programs and professional staff as needed.</p> <p>Responsibilities include:</p> <ul> <li>Compile and verify the accuracy, and sort constituent demographic information according to priorities, to prepare for entry into the database. </li><li>Consistently review data for deficiencies or errors, correct any incompatibilities if possible, and verify correctness for demographic report output. </li><li>Monitor the database Demographic Case queue daily to maintain timely and thorough responsiveness for demographic changes, updates, and verification. </li><li>Serve as a steward of OA's data with an attention to detail and thorough understanding of the importance of data integrity. </li><li>Enter and update researched demographic and affinity information from a variety of external resources in the donor database. </li><li>Assist with data integrity projects, including returned mail, event registration, giving days, special events or other data oriented outreach. </li><li>Assist with creating highly detailed parent data records and relationships, including new accounts and contacts, connections, research and affinities. </li><li>Provide professional customer service to constituents in need of event registration assistance, information inquiries and other data-oriented concerns. </li><li>Identifies issues by relieving AIM management of administrative detail discrepancies. </li><li>Assembles and coordinates AIM meeting materials (e.g., charts, graphs, reports) and takes minutes during team meetings. </li><li>Assists with the organization of the AIM Team learning library and procedural documents. </li><li>Prepares and helps process monthly expense reports, including conference, travel or other expense reconciliation. </li><li>Other duties as assigned. </li></ul> <p>This a full-time position, 35hrs per week, in the secretarial/clerical bargaining unit</p> <p>Minimum Qualifications</p> <ul> <li>Associate Degree and two years related experience or an equivalent combination of education, training and experience. </li><li>Demonstrated expertise in Microsoft Office programs including ability to do mail merges in Word and Excel spreadsheet formatting and manipulation. </li><li>Demonstrated experience in customer service, data entry, event support, or a related field. </li><li>Ability to work effectively with staff, alumni, and parent constituents. </li><li>Demonstrated ability to work on multiple projects effectively in a fast-paced environment and follow through with minimum supervision in a calm and effective manner. </li><li>Proven ability to take initiative, establish efficient procedures, and have a strong attention to detail. </li><li>Strong organizational skills and proven ability to effectively prioritize tasks. </li><li>Effective communication skills. </li><li>Demonstrated commitment to work within a diverse environment and interact openly with individuals of different backgrounds. </li></ul> <p>Preferred Qualifications</p> <ul> <li>Experience working in databases. </li></ul> <p>Position is open until filled.
