<p>Job Description:</p> <p>POSITION SUMMARY: The Academic Services Associate will deliver direct, one-to-one advising to all students of Quincy College in proactive outreach populations. The incumbent will work collaboratively with all student support services, e.g. admissions, registration, financial aid, and the incumbent is responsible for implementing advising programs and interventions to promote student success to support students' transition to the College. The incumbent will report to the VP for Student Success & Partnerships and work collaboratively with the entire team of that office. The Academic Services Associate will also be responsible for interpreting and explaining College policies and procedures; will serve as an advocate for students, when appropriate; and will act as an advising resource for Quincy College faculty who also advise. The Academic Services Associate's caseload management will include continuous outreach to, and follow up with, advisees, in addition to conducting day-to-day advising appointments. The incumbent must be knowledgeable of the admissions process, including, financial aid, registration, and other student support services. The Academic Services Associate is expected to educate both prospective and current students, other college constituents, and high school guidance offices on these resources. The Academic Services Associate will assist with New Student Orientation and other first year student programs. The incumbent guides students through the program application process, including selective program requirements and materials. In addition, this person is actively involved in College outreach and recruitment activities.</p> <p>Education: Bachelor's Degree required; Master's degree or equivalent experience preferred.</p> <p>Requirements:</p> <p>REQUIREMENT: A minimum of one year of advising experience in higher education, strong knowledge of current student development theory and research, willingness to work collaboratively as part of a team, and a proven ability to create a safe and welcoming environment for students from diverse backgrounds are all requirements of this position. Experience working with first year, transfer, and non-traditional students is strongly preferred. Some evening and occasional weekend hours may be required in additional to travel to our Plymouth campus and Boston site.</p> <p>ADDITIONAL REQUIREMENTS:</p> <ul> <li>Familiarity (proficiency preferred) in Jenzabar advising functions. </li><li>Proficiency in Microsoft Office Suite, as well as other office software applications. </li><li>Ability to exercise good judgment in prioritizing tasks/multi-tasking and meeting deadlines. </li><li>Ability to collaborate and build working relationships with faculty and staff. </li><li>Attend other meetings as necessary and/or assigned. </li><li>Excellent verbal, written, and interpersonal communication skills. </li><li>Student-centered with a focus on student success. </li><li>Ability to articulate and represent the mission of a highly diverse, multicultural community college. </li><li>Good judgement, with the ability to identify when a problem needs to be addressed and/or escalated. </li><li>Flexibility in work location and willingness to work evenings and weekends. </li><li>Highly collaborative and responsive to all College constituents, including faculty, staff, students, families, and community representatives. </li><li>Ability to work efficiently in a fast-paced work environment and transition among various offices. </li><li>Demonstrated ability to learn new software and systems to include (FAFSA) financial aid process and requirements, and Accuplacer. </li><li>Strong commitment to the delivery of student-centered academic advising. </li><li>Ability to perform the essential functions of the position with or without reasonable accommodations. </li><li>Ability to be an independent thinker. </li></ul> <p>SUPERVISORY RESPONSIBILITIES: None.</p> <p>TRAVEL: Occasional travel to and between the Quincy and Plymouth campuses as well as the Boston site may be required.</p> <p>ESSENTIL FUNCTIONS:</p> <ul> <li> <p>Deliver student-centered academic advising to first-year, transfer, and continuing students at the Quincy and Plymouth campuses, as well as online.</p> </li><li> <p>Serve as the advising point of contact for all transfer students.</p> </li><li> <p>Promptly and courteously respond to emails, phone calls, and other requests from students, campus partners, and external constituents.</p> </li><li> <p>Schedule appointments to meet with current students to provide information about the college and address academic issues or concerns, including academically at-risk students.</p> </li><li> <p>Maintain notes based on advising appointments.</p> </li><li> <p>Assist in advising correspondence including, but not limited to, the Academic Advising email address and various social media channels.</p> </li><li> <p>Advise students on major selection/affirmation; understanding one's curriculum and the degree completion process; and course selection and registration procedures.</p> </li><li> <p>Develop fluent familiarity with all college programs and articulation agreements; college policies and procedures; and office business processes.</p> </li><li> <p>Coordinate College Transfer Fairs and participate and provide administrative support with College functions, including but not limited to orientations, open houses, welcome sessions, commencements, honors convivium, community and college meetings.</p> </li><li> <p>Provide accurate information and assistance to students in collaboration with College offices, including admissions business office, registration, financial aid, and student development.</p> </li><li> <p>Represent Academic Advising in meetings related to the department as assigned by a supervisor.</p> </li><li> <p>Assist with policy and procedures review as it relates to Academic Advising.</p> </li><li> <p>Assist with outreach activities, including registration calls, information sessions, campus tours, virtual office appointments, zoom sessions, and off-campus visits.</p> </li><li> <p>Assist with outreach activities and recruiting initiatives of prospective students, current students, parents, and all constituents, including information sessions, campus tours, virtual office appointments, zoom sessions, and off-campus visits.</p> </li><li> <p>Maintain foundational knowledge and assist in/with all areas pertaining to student financial aid/admission/ enrollment/registration/business/technical areas.</p> </li><li> <p>Schedule appointments to meet with prospective and current students to provide comprehensive information to answer their questions, issues, and concerns in all matters relative to financial aid/admission/registration/academic advising/business matters.</p> </li><li> <p>"Walk" students and prospective students through administrative/enrollment (admissions, course election, registration, financial aid, business) processes, providing instructional and technical support as needed.</p> </li><li> <p>Participate in relevant professional development opportunities.</p> </li><li> <p>Provide support to the manager of the Academic Advising office.</p> </li><li> <p>Participate in mandatory training/coursework, including but not limited to:</p> </li><li> <p>Title IX and Sexual Misconduct</p> </li><li> <p>Non-Discrimination and Sexual Harassment</p> </li><li> <p>Security Policy and Notification of Security Reporting</p> </li><li> <p>FERPA</p> </li><li> <p>Municipal Ethics Law</p> </li><li> <p>Assume other related duties as assigned.</p> </li></ul> <p>Additional Information:</p> <p>EEO Statement:</p> <p>Quincy College is an equal opportunity employer committed to providing an environment that is free from discrimination and harassment based on race, age, creed, color, religion, national origin or ancestry, gender, disability, veteran status, genetic information, sexual orientation, gender identity or expression, or pregnancy.
