<p>Join us for the 2026-2027 school year!</p> <p>Responsible To: Director of Pupil Personnel</p> <p>Contract Terms: 12 months</p> <p>Qualifications:</p> <p>Certification: High School Diploma or equivalent</p> <p>Experience: Two years of increasingly responsible secretarial and clerical experience</p> <p>Basic Function:</p> <p>Perform advanced-level secretarial duties requiring independent judgement and analysis for a district director or coordinator of a district-wide program or function; plan, organize and coordinate office activities and communications to relieve the director of routine administrative and clerical details.</p> <p>Duties:</p> <p>Files for Director of Pupil Personnel.</p> <p>Assists prepare monthly student information for computer entry.</p> <p>Fills and records transcript requisition data.</p> <p>Maintains correspondence concerning census information.</p> <p>Compiles necessary materials pertinent to the opening of the school year for distribution.</p> <p>Distributes daily mail.</p> <p>Assists Textbook Administrator as requested.</p> <p>Completes daily, weekly and monthly typing as both requested and required by Director of Pupil Personnel.</p> <p>Shares general duties with other secretaries when free time is available.</p> <p>Prepares correspondence to parents and schools regarding transfers within district schools.</p> <p>Prepares, distributes, maintains correspondence, lists, tabulations, etc. for programs or responsibilities under the director of the Director of Pupil Personnel.</p> <p>Enters computer data information as follows:</p> <ul> <li>registration of new students </li><li>re-entry and withdrawals </li><li>school attendance </li><li>census information </li><li>social security numbers </li><li>homeroom number assignments for students beginning of school year </li><li>homeroom number assignments for teachers beginning of school year </li><li>pre-registration information for kindergarten, first grade and preschool </li><li>private and parochial students both in and out of county </li><li>fixed assets inventory </li><li>corrects and updates all computer information on all programs (attendance) </li><li>prepares all student information forms for computer entry </li><li>prepares PA-2's and PA-3's for distribution to schools </li><li>files data for Directors of Pupil Personnel </li><li>Xerox materials requested by Directors of Pupil Personnel for distribution (Attendance Reports and School Calendar, etc.) </li><li>answers telephone </li><li>does typing for Directors of Pupil Personnel </li><li>updates demographic codes </li></ul> <p>Punctual and regular in attendance.</p> <p>Knowledge of:</p> <ul> <li>Modern office practices, procedures and equipment. </li><li>Applicable sections of Kentucky Administrative Regulations and other applicable laws. </li><li>District organization, operations, policies and objectives. </li><li>Organization, rules, regulations and programs related to an assigned office or function. </li><li>Operation of a computer terminal and data entry techniques. </li><li>Software applications used by the district, including word processing and spreadsheets. </li><li>Financial and statistical record-keeping techniques. </li><li>Basic budget monitoring and control. </li><li>Telephone techniques and etiquette. </li><li>Financial and statistical record-keeping techniques. </li><li>Correct English usage, grammar, spelling, punctuation and vocabulary. </li><li>Interpersonal skills using tact, patience and courtesy. </li></ul> <p>Ability to:</p> <ul> <li>Perform advanced-level secretarial duties requiring independent judgement and analysis. </li><li>Plan, organize and coordinate office activities and communications to relieve the director of routine administrative and clerical details. </li><li>Work independently with little direction. </li><li>Type at an acceptable rate of speed. </li><li>Analyze situations accurately and adopt an effective course of action. </li><li>Compose independently or from oral instructions letters, memos, bulletins or other material. </li><li>Read, interpret, apply and explain rules, regulations, policies and procedures. </li><li>Maintain records and prepare reports. </li><li>Communicate effectively both orally and in writing. </li><li>Meet schedules and time lines. </li><li>Establish and maintain cooperative and effective working relationships with others. </li></ul>
