<p>Description</p> <p>Franklin Street is currently seeking an Operations Client Services Manager to join our team in Nashville, TN.</p> <p>The ideal candidate must possess 3-5 years of administrative experience or a Bachelor of Science or Bachelor of Arts. Intermediate or advanced knowledge of Adobe Creative Suite, including InDesign, is a requirement for this role. Professional level proficiency in computer skills, including MS Office applications (Excel, Word, Outlook) and internet/application software, along with a willingness and ability to learn new software programs, is required to be considered for this role.</p> <p>Position Overview:</p> <p>The Operations Client Services Manager will foster and maintain a professional work environment consistent with Franklin Street's culture, ensure a high level of operational efficiency and organization, and relate clear communication within the organization. This position will manage the clerical and administrative functions of the office production teams.</p> <p>Client Services Essential Functions</p> <p>Contract/Transaction Management</p> <ul> <li>Types and supports the production of general correspondence, memos, charts, tables, graphs, site plans, etc. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy. </li><li>Manages creation and execution of Listing Agreements, Letters of Intent/Offer Letters, Commission Agreements, Lease Agreements, Purchase & Sale Agreements, etc. Upon receipt of same, store in client/deal folder and executes appropriate checklists/processes. </li><li>Enters all transactions and required documentation into Frankie. Complete the necessary steps in Frankie to create/send out commission invoices and process payments. </li><li>Monitors commission demand letters and balances for the sales teams. Coordinate with legal on past due commission invoices and disseminate information and updates to the respective teams. </li></ul> <p>Database Management</p> <ul> <li>Manages the creation and storage of client/deal folders. </li><li>Maintains company database by adding or verifying contact information and property databases to ensure orderly information, files, and accessibility. </li><li>Maintains any pipeline reports and tracking spreadsheets. </li></ul> <p>Marketing</p> <ul> <li>Ensures that all branded materials are the corporate-approved template including emails, flyers, newsletters, and deliverables. </li><li>Works with Marketing and PR teams to prepare draft press releases and identify opportunities for press. </li><li>Support a team of multiple commercial real estate agents with the assigned line client services manager. </li><li>Performs market research for general information, comps, tenant write-ups, etc. </li><li>Assists the Business Line's marketing person, if applicable, in the creation of demographic maps, aerials, target area maps and reports using Regis, ESRI, and/or CoStar. </li><li>Assists the Business Line's marketing person, if applicable, in the execution of marketing projects, including but not limited to coordinating and creating direct mailings and eblasts, orders property signs, booking property photos/drone videos with vendor, executive summaries, brochures, placemats, pitch packages, market/tenant rep packages, and press releases. </li><li>Creates collateral including but not limited to property brochures, market surveys, market tours, proposal packages and business development initiatives. </li><li>Ensures all listings are properly displayed on all necessary websites and/or advertising outlets. (i.e. Company website, LoopNet, CoStar Crexi, etc.) </li></ul> <p>Operations Essential Functions</p> <p>Scheduling</p> <ul> <li>Schedule and coordinate company-wide and/or agent meetings and appointments for office </li><li>Provide support for all trainings, company and team meetings, including conference room set up </li><li>Coordinate meeting space through Zoom, Teams, and conference calls </li><li>Circulate agendas and materials prior to meetings and may coordinate follow up </li></ul> <p>General Office</p> <ul> <li>Manage the day to day operations pertaining to office processes and procedures while fostering and promoting the organization's values and culture </li><li>Work closely with corporate office to ensure necessary communications are disseminated effectively to local office </li><li>Responsible for organizing the office layout </li><li>Provide support to front desk and may answer incoming calls and greet clients when necessary </li><li>Responsible for maintaining a safe and healthy worksite and arranging necessary repairs when needed </li><li>Accountable for the mail administration of the office including receiving, sorting, delivering, and sending of business related mail </li><li>Assist in the onboarding process for new hires, including seat assignment, supplies, and working with HR to ensure completion of all new hire tasks </li><li>Plan, according to budget, events throughout the year including, team building, philanthropy, client events, and holiday parties </li><li>Establish and maintain relationships with office vendors, including building maintenance </li><li>Partner with HR to update and maintain office/company polices when necessary </li><li>Oversee the purchase of new office supplies and monitor and keep appropriate inventory, including furniture and office equipment </li><li>Direct appropriate invoices to accounting for approved business-related expenses </li><li>May respond to customer questions and complaints and/or route to appropriate party </li><li>Coordinate with IT department on all office equipment and it's inventory </li></ul> <p>Miscellaneous</p> <ul> <li>Works independently to support team members on special nonrecurring and ongoing projects. </li><li>Maintains strict confidentiality regarding company marketing, business matters and broker information. </li><li>Works on special projects and performs other duties as assigned. </li></ul> <p>Requirements</p> <ul> <li>3-5+ years of administrative experience or Bachelor of Science or Bachelor of Arts. </li><li>Intermediate/Advanced knowledge of Adobe Creative Suite - InDesign, Photoshop, Illustrator, and Acrobat Pro, strongly preferred. </li><li>Experience utilizing a variety of marketing/media communication vehicles including web, email promotion, and traditional service/product collateral a plus. </li><li>Previous experience in commercial real estate or property and casualty insurance is preferred, but not necessarily required. </li><li>Professional level proficiency in computer skills including MS Office applications (Excel, Word, Outlook) and internet/application software required along with a willingness and ability to learn new software programs. </li><li>Must possess demonstrated administrative organizational skills and the ability to multi-task in a fast-paced setting. </li><li>Must possess problem-solving ingenuity, conflict resolution skills and team player qualities. </li><li>Analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work. </li><li>Must be able to calculate figures and amounts such as basic financial math, commissions, deposits, interest, and percentages. </li><li>Work requires continuous attention to detail in composing, typing, and proofreading materials, establishing priorities and meeting deadlines. </li><li>High-level data entry skills are required. </li><li>Strong organizational and planning skills </li><li>Professional verbal and written communication skills </li><li>Knowledge of office management responsibilities, systems, and procedures </li><li>Strong time management skills and ability to multi-task and prioritize work assignments </li><li>Ability to think and work independently </li><li>Ability to build professional relationships </li><li>Personable and upbeat demeanor with a positive attitude </li></ul> <p>About Franklin Street:</p> <p>Franklin Street is a family of full-service real estate companies focused on delivering value-added solutions to meet clients' evolving needs.
