<p>The Operations Manager will provide logistical and administrative support to the Center for Career Development team and the Director of Fellowships and Graduate Studies; plan and assist with all logistical aspects of CCD student engagement, events, experiential programs, and marketing.</p> <p>Major Areas of Responsibility</p> <ul> <li>Manage Crusader Internship Fund (CIF) application and stipend award process </li><li>Receive student intake form and monitor student progress through stipend application process </li><li>Monitor financial need information and other data for funded students </li><li>Confirm funding amounts for each student and communicate with students throughout the process </li><li>Process stipend paperwork for all funded internships </li><li>Maintain funded student records and report on demographic data of CIF recipients </li><li>Provide CIF Orientation and Send Off materials to students </li><li>Oversee CIF website updates to ensure accurate information for students </li><li>Serve as the main point of contact for employers and students with questions regarding CIF </li><li>Label counselor for summer tracking and compile intern start and end dates </li></ul> <p>Manage Fulbright interview process for the Director of Fellowships and Graduate Studies</p> <ul> <li>Coordinate faculty committee preliminary Fulbright interview schedule </li><li>Schedule student Fulbright candidate interviews </li><li>Book interview and meeting rooms for Fulbright interviews </li><li>Complete and submit Director of Fellowships and Graduate Studies expense reports </li></ul> <p>Event Support and Management</p> <ul> <li>Provide administrative support for CCD events and programs including workshops, career fairs, networking nights, career panels and special events </li><li>Reserve rooms, order technology and equipment, and order catering for programs and events </li><li>Book student transportation for off-campus events </li><li>Ensure events are highlighted in various calendars including CCD Google Calendar, Handshake, MyHC, and Ignite </li><li>Create nametags, table tents, and rosters for events </li><li>Compile handouts, reports, and materials for events </li></ul> <p>Support data management for CCD reporting</p> <ul> <li>Ensure student/alumni utilization of services (drop-ins, appointments, workshops, groups and special events) is properly and accurately recorded in Handshake and prepare reports </li><li>Track student and campus partner utilization of interview rooms and CCD space </li><li>Generate utilization reports as requested </li><li>Record assessment data and prepare summary reports </li><li>Assist with data collection, data scrubbing, and report generation for the report on the graduating class </li></ul> <p>Point of contact for administrative systems and vendors</p> <ul> <li>Serve as point of contact for internal administrative systems and offices including purchasing, facilities (FAMIS), Graphic Arts, Uber for Business </li><li>Serve as point of contact for vendors </li><li>Prepare direct payment requests and maintain files </li></ul> <p>Manage CCD Operations</p> <ul> <li>Oversee CCD events calendars, ensuring event and programming coordination, coverage, support and publicity </li><li>Manage interview room and conference room scheduling </li><li>Manage student engagement team's calendars: drop-ins, events, programs </li><li>Administer and print Strong Interest Inventory reports for students and counselors </li><li>Provide general office support services for the Center for Career Development </li><li>Manage and post content to digital sign </li><li>Arrange for printing for reports, flyers, newsletters, and brochures </li><li>Maintain inventory of supplies and handouts and reorder as needed </li><li>Place maintenance and facility requests </li><li>Serve as a resource for students, employers and alumni regarding CCD programs, services and resources, Fellowships and Graduate Studies, and Health Professions Advising </li><li>Respond knowledgeably to inquiries about CCD, Fellowships and Graduate Studies, and Health Professions Advising programs, services and resources in a welcoming manner </li><li>Greet students/visitors, answer phones and direct inquiries </li><li>Open, direct and/or respond to emails in the CCD email account (careers@holycross.edu) </li><li>Open and direct office mail </li><li>Monitor and approve student appointment requests in Handshake and respond to student and alumni appointment inquiries outside of Handshake </li><li>Demonstrate, assist, and troubleshoot students in the use of Handshake </li><li>Provide backup for the Employer Engagement Specialist in that individual's absence </li></ul> <p>Minimum Qualifications</p> <ul> <li>High School diploma required, 2 - 3 years of related experience. </li><li>Strong skills in all Google suite applications including Mail, Calendar, Docs, Sheets, Forms and Drive </li><li>EMS-Event Management System scheduling </li><li>Experience with web-based platforms (ie Handshake, Peoplegrove, Workday) </li><li>Strong interest in working with undergraduate, liberal arts students at a Jesuit institution </li></ul> <p>Core Competencies</p> <ul> <li>Dependability </li><li>Extremely well-organized and detail-oriented, with excellent follow-through </li><li>Must have a strong customer-service orientation to all who visit, call or email the office </li><li>Ability to manage projects on tight deadlines within a fast-paced environment with frequent interruptions </li><li>Excellent verbal communication skills required </li><li>Must be self-directed with the ability to work independently </li><li>Ability to work in teams and collaboratively with other staff </li><li>Possess can-do spirit and positive outlook, seeing the best in others </li><li>Understands, values and respects diversity as an individual, in a team and within groups while fostering an inclusive and supportive environment. </li></ul> <p>Additional information:</p> <p>This is a full time exempt level position.
