<p>Target Hiring Range: $26.69 - $30.02 per hour</p> <p>Incumbent will provide direct oversight to all clerks within the Records Bureau and Concealed Handgun Licensing (CHL). The incumbent is responsible for a variety of administrative and clerical duties, including but not limited to assisting law enforcement personnel, processing NCIC/LEADS entries, data entry, and processing of necessary reports and legal documents. The incumbent possesses all the requisite knowledge, skills and physical abilities fundamental to the positions of all subordinate members in the chain of command.Candidates must have a High School Diploma or GED. A degree from an accredited college or university is desired. Must have at least 2 years of relevant work experience. Previous supervisory experience is preferred. Must have a valid Ohio driver's license and a clean criminal record.</p> <ul> <li> <p>Supervises Records Clerks, Concealed Handgun Licensing Clerk, and related records services to include, but not limited to: assigning work, planning and estimating work requirements, adjusting work assignments to accommodate staff needs, monitoring performance, training employees, and resolving personnel and/or bureau problems;</p> </li><li> <p>Assigns and reviews the workload of direct supports to ensure compliance and accuracy with set standards, conformance to policy, and timely completion of work;</p> </li><li> <p>Will be the LEADS Terminal Agency Coordinator (TAC);</p> </li><li> <p>Meets with the Communication Director on a regular basis to review programs, policies and procedures, decisions and outcomes and to facilitate planning of activities for the records clerks;</p> </li><li> <p>Coordinates the activities and schedule of Records/CHL personnel;</p> </li><li> <p>Coordinates installation and maintenance of Records/CHL equipment;</p> </li><li> <p>Participates in on-call status</p> </li><li> <p>Writes monthly, quarterly, and annual reports as needed;</p> </li><li> <p>Monitors and measures performance;</p> </li><li> <p>Coordinates training of employees;</p> </li><li> <p>Participates and facilitates conflict resolution;</p> </li><li> <p>Problem-solves operational challenges;</p> </li><li> <p>Ensures compliance and accuracy with set standards;</p> </li><li> <p>Ensures conformance to policy;</p> </li><li> <p>Facilitate the implementation of the Records Bureau's goals and objectives;</p> </li><li> <p>Reviews departmental needs with the Communications Director;</p> </li><li> <p>Works closely with Record Retention Manager to support the record retention schedule; </p> </li><li> <p>May testify at trial, hearings or grand juries;</p> </li><li> <p>Participates in the hiring and training processes of new employees.</p> </li><li> <p>NON-ESSENTIAL JOB FUNCTIONS:</p> </li><li> <p>Performs special assignments as directed;</p> </li><li> <p>Maintains professional training;</p> </li><li> <p>Participates and assists with a variety of special projects as requested;</p> </li><li> <p>Performs related Essential and Non-Essential functions as needed; </p> </li><li> <p>Any other duties as assigned by the Sheriff or his designee.</p> </li><li> <p>JOB REQUIREMENTS:</p> </li><li> <p>Physical Requirements: Incumbent performs sedentary work which may require lifting up to thirty-five (35) pounds occasionally</p> </li><li> <p>Physical Activity: Incumbent performs the following physical activities: climbing, stooping, reaching, walking, typing, talking, hearing and repetitive motion.</p> </li><li> <p>Visual Activity: Incumbent performs work where the seeing job is close to the eyes, and requires viewing a computer terminal and proofreading information. </p> </li><li> <p>Job Location: Incumbent is not exposed to adverse environmental conditions.</p> </li><li> <p>CRITICAL SKILLS/EXPERTISE:</p> </li><li> <p>Knowledge of the Ohio Revised Code, including public records and regulations;</p> </li><li> <p>Ability to apply effective supervisory skills to direct, motivate and manage subordinate personnel;</p> </li><li> <p>Ability to follow established policies and procedures;</p> </li><li> <p>Ability to accurately complete, maintain and/or file records, reports and forms;</p> </li><li> <p>Ability to operate a multi-line telephone system and other standard office equipment;</p> </li><li> <p>Ability to communicate effectively, both orally and in writing;</p> </li><li> <p>Ability to multi-task;</p> </li><li> <p>Ability to develop working rapport with office personnel and representatives of both private and public entities;</p> </li><li> <p>Ability to follow oral and written directions;</p> </li><li> <p>Ability to maintain confidentiality of information and records;</p> </li><li> <p>Ability to organize, prioritize, and plan work/tasks and to carry out programs, policies, and administrative matters;</p> </li><li> <p>Ability to work independently and achieve results;</p> </li><li> <p>Ability to work effectively with the public who may be upset, distraught, irate, emotionally or mentally or otherwise unable to function within reasonable range of collective behaviors.</p> </li><li> <p>Knowledge of the Sheriff's Office policies, procedures, practices, and guideline and the ability to apply as they relate to the assigned duties; and,</p> </li><li> <p>Ability to maintain LEADS Assistant TAC status.</p> </li><li> <p>RESPONSIBILITY</p> </li></ul> <p>The Records Supervisor has direct responsibility and provides supervision for approximately 11 direct reports. Incumbent makes decisions independently regarding day-to-day activities, following policy and procedures, including daily staffing, scheduling tasks, establishing priorities, and modifying procedures relative to operating circumstances. Incumbent is responsible for the efficiency and quality of work performed on all shifts.</p> <p>PERSONAL WORK RELATIONSHIPS</p> <p>Incumbent has contact with co-workers, employees in the Office, public and private sector employees, law enforcement personnel, and the general public.</p>
