<p>Technical Coordinator</p> <p>Dearborn</p> <ul> <li>MI </li></ul> <p>Contract</p> <p>Position Description:</p> <p>Technical Coordinator with Executive Administrative Assistance Duties Are you an experienced, highly organized, systematic customer-focused professional with deft experience in modern knowledge worker technologies (e.g. Microsoft Teams, Excel and SharePoint Lists? Our Research & Advanced Engineering (R&A) group is seeking an experienced Executive Assistant to provide comprehensive support for two of our directors. In this role, you'll be responsible for managing complex calendars, coordinating communications, and handling confidential information with discretion. The ideal candidate is a proactive problem-solver with excellent communication skills, a strong sense of integrity, and the ability to thrive in a fast-paced environment. You should be comfortable working independently, taking the initiative, and suggesting improvements to existing processes. We're looking for someone who is eager to learn, adaptable to change, and committed to delivering high-quality results using modern technology. Candidates must be in SE Michigan and work in the office 4+ days a week, with a possible transition to a hybrid work environment (three days a week in office) after a set amount of time. The successful candidate will be a strong communicator with excellent writing and editing skills, comfortable working both independently and as part of a team in our open-concept office. They should be eager to learn new technologies and possess the organizational skills to manage multiple projects effectively. A flexible attitude, a willingness to support colleagues across global time zones, and a proactive approach to identifying and resolving issues are highly valued.</p> <p>Skills Required:</p> <p>Supporting organizations in multiple time zones, Customer Service, Problem Solving, Communications, Administrative Assistant Primary Skills Required: • Administrative Skills: Ability to prioritize calendaring based on organizational needs, scheduling travel, completing expense reports, organizing monthly team meetings, organizing skip level meetings and assisting with budget management. • Organizational & Time Management Skills: Ability to manage multiple tasks, prioritize effectively, and meet deadlines in a fast-paced environment. • Experience in corporate environment: Previously managing executive communication, understanding norms around hierarchy and prioritization. • Communication Skills: Excellent written and verbal communication skills for interacting with colleagues, clients, and executives. • Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Microsoft SharePoint, Microsoft Teams (or equivalent live messaging platforms) and the ability to use polling software (e.g. Slido). For example, build lists of activities for teams in Excel and drive to closure, mail merge lists with word for reports, manage SharePoint access for the team and organize large team meetings using Outlook and Teams. • Attention to Detail: Ensuring accuracy in data entry, scheduling, and document preparation. • Problem-Solving Abilities: Ability to handle unexpected issues and find effective solutions independently. • Interpersonal Skills: Building and maintaining positive relationships with team members and clients. • Confidentiality: Handling sensitive information with discretion and professionalism. • Adaptability: Ability to adjust to changing priorities and work effectively in a dynamic environment. • Customer Service Skills: Providing excellent service to internal and external stakeholders</p> <p>Skills Preferred:</p> <p>Project Management, Event Planning, Operations Research, Financial Reporting · Project Management: Experience supporting project teams with planning, execution, and tracking deliverables. · Event Coordination: Ability to assist with the organization of corporate events, meetings, and conferences. · Financial Support: Basic understanding of budgeting and expense tracking to assist with financial reporting. · Research Assistance: Skilled in conducting research and gathering information to support team projects.</p> <p>Experience Required: • Administrative: 3+ years of experience in an Executive Administrative Coordination role, in a corporate setting. • Technical: 3+ years of proficiency with Microsoft Office Suite (Outlook, PowerPoint, Word, Excel) , SharePoint and Teams (or equivalent instant messaging corporate platform) • Project & Event Management: Experience coordinating projects, including scheduling, resource allocation, and follow-up. Experience organizing meetings, conferences, and other corporate events. • Financial: Experience with basic financial tasks such as budgeting, expense tracking, and financial reporting. • Data Management: Experience managing and organizing data, including data entry and database management using tools like SharePoint or Excel to manage data. • Communication & Interpersonal: Proven experience in drafting professional emails, reports, and other business communications. Strong customer service and problem-solving skills. • Experience in managing travel: Using travel tools like Concur and completing expense reports. • Location: Must be able to work on-site in Dearborn, MI, at least 4+ days / week.</p> <p>Experience Preferred:</p> <p>Proven experience with all aspects of travel coordination, including booking flights and hotels, arranging ground transportation, and managing travel itineraries.</p> <p>Education Required:</p> <p>High School Diploma or equivalent</p> <p>Why work with us?
