<p>Dane County Clerk of Courts in Madison, WI has a current vacancy for a full time (1.0 FTE) Probate Clerk - WATTS Review position.</p> <p>The Probate Clerk - WATTS Review position handles all Watts reviews in the Guardianship office. This involves setting hearings for annual review, clerking the hearings, and dealing with the paperwork from the annual reviews. Guardian ad litem will file via e-file or paper file. Petition for annual review, orders for payment of guardian ad litem. Other duties include covering the Probate/Guardianship counter a couple of times per week answering questions, assisting customers in person and on the phone. Receipting payment and processing requests for documents. Assisting pro se customers with limited understanding of the Probate/Guardianship courts. Answering general questions and providing documents. Backup for other staff when they are out. Covering court for the Guardianship Paralegal and coverage for Guardianship staff member duties. Applicants from traditionally underrepresented populations including women, racial and ethnic minorities, and persons with disabilities are especially encouraged to apply.</p> <p>DEFINITION</p> <p>Under general supervision within the Clerk of Circuit Court's Probate Office, this classification provides customer service at the counter, via telephone and through written, fax and electronic correspondence. Customer service, computer data entry, scanning, and cash receipting responsibilities are core to the classification.</p> <p>EXAMPLES OF DUTIES</p> <p>Provide front line customer service at the Probate counter. Greet customers and answer general procedural questions. Receive documents for filing, and open, update, and close Probate related cases. Scan all incoming documents. Answer incoming calls for information. Clerk hearings. Schedule appointments for Court Commissioners and Paralegal staff. File documents into Circuit Court case files. Make copies and certify documents. Receipt money for filing fees, copy, search, and certification fees, and miscellaneous other fees. Assist in processing Order to Show Cause Hearings, status conferences, and related hearings, by processing scheduling notices. Duties extend to assigning Judges to contested Probate Matters, receipt and distribution of documents to staff handling Adoptions, Guardianships, and Mental Commitments, and performing related duties as assigned. Clerk hearing for Watts and Guardianship cases. Backup the Guardianship Paralegal and the ME clerk when the Clerk is out. Communicate regularly with many different agencies to make the court process flow smoothly for the case types often on short notice.</p> <p>Education, Training and Experience:</p> <p>High school graduation (or equivalent). Individuals must also possess any combination of education, training and experience equivalent to five (5) years of increasingly responsible administrative experience in a court system, law office or related work environment with substantial responsibility for identifying, processing, and preparing a wide variety of legal papers associated with court actions. </p> <p> </p> <p>Background Check Statement: Some positions may require a criminal background check, which can include fingerprinting due to the nature of the job's responsibilities. Wisconsin's Fair Employment Law, s. 111.31 - 111.395, Wis. Stats., prohibits discrimination because of an arrest or conviction record. However, Dane County may disqualify an applicant if the position's responsibilities are substantially related to the applicant's criminal history (e.g., the nature of the crime and its relationship to the position, whether hiring, transferring or promoting an applicant would pose an unreasonable risk to the business, its employees, customers and vendors, etc.). Management reserves the right to make employment contingent upon successful completion of the background check.</p> <p>For Bilingual Positions:</p> <ul> <li>Provide services in both English and the required foreign language (e.g., Spanish, Arabic, Hmong, etc.). </li><li>Applicants being considered for bilingual positions will be tested during the recruitment process prior to employment. This will primarily consist of passing an oral language proficiency assessment from English to foreign language and foreign language to English, but may require additional language testing, such as written translation, if it is an essential function of the job. </li><li>If applicable, individuals may confirm with the Employee Relations Division whether results of bilingual language certifications/ examinations they currently hold qualify them for the position's bilingual designation. </li></ul> <p>Physical and Environmental Work Requirements: </p> <p>Professional office work environment. This classification requires standing at the Probate counter, sitting at a desk, reaching for documents and scanning documents, some lifting of paper boxes or envelopes may occur. Most of the day will be stationary in court or at a desk.</p> <p>Knowledge of or ability to master court practices and procedures, legal documents and terminology, and modern office practices and techniques. Ability to maintain accurate legal records. Ability to master legal requirements for court record-keeping. Ability to interpret and apply policies, regulations and procedures. Ability to handle a wide variety of assignments. Ability to exercise independent judgment and keep appropriate court matters in a confidential manner. Ability to operate standard office machines, including computer, copier, fax, scanner and multi-line phone and meet high standards in keying speed and accuracy. Ability to spell and use good grammar in both oral and written communications. Ability to establish and maintain effective relationships with co-workers and the public. Ability to deal effectively with a large volume of cases and be accountable for the receipt and disbursements of large sums of money. Ability to work with many distractions due to the work environment. Knowledge of or experience with Probate and Guardianship court or case law.</p>
