<p>Job Description:</p> <p>YOUR TITLE: Executive Assistant to the Chief Human Resources Officer</p> <p>YOUR DEPARTMENT: Human Resources</p> <p>WHO YOU WILL REPORT TO: Chief Human Resources Officer</p> <p>WHERE YOU WILL WORK: Fall River, MA; 1-2 days per week of telework possible</p> <p>WHEN YOU WORK: Starts July 1st; M-F 8:30am-5:00pm; summer schedule possible</p> <p>JOB STATUS: This is a full-time, non-unit professional (NUP-C3) position with benefits</p> <p>WHAT WE CAN OFFER: $73,525.19 - $77,247.40 + Comprehensive Benefits Package (NUPC-3)</p> <p>WHAT YOU CAN EXPECT:</p> <p>Bristol Community College seeks individuals who thrive in collaborative environments and are passionate about shaping a vibrant and inclusive institutional culture. The Executive Assistant provides high-level administrative support, including but not limited to managing schedules, coordinating meetings and events, preparing reports and presentations, handling confidential information, and serving as a liaison between the executive and internal/external stakeholders. The Executive Assistant ensures the smooth operation of the executive's office and contributes to the overall efficiency of the team/department among other duties, as assigned.</p> <p>WE'LL COUNT ON YOU TO:</p> <ul> <li> <p>Manage schedules, communications, and operational logistics for the CHRO.</p> </li><li> <p>Act as the key decision maker upon administrative tasks.</p> </li><li> <p>Serve as the office administrator and oversee all administrative operations for the department.</p> </li><li> <p>Support both internal and cross-departmental projects as directed by the CHRO.</p> </li><li> <p>Task and project-specific execution, including:</p> </li><li> <p>Assist with the development, management, and reporting of HR-related budgets and ad hoc reports, including biweekly payroll and OEWS data.</p> </li><li> <p>Create and update organizational charts and support the development and management of HR policies.</p> </li><li> <p>Manage I9 compliance, maintain new hire personnel files, and oversee file closeout procedures.</p> </li><li> <p>Track and manage employee data, including dynamic forms, and ensure accurate filing and compliance with e-forms and other HR documentation.</p> </li><li> <p>Support HR events, employee recognition, and manage the ticketing system for HR-related inquiries.</p> </li><li> <p>Oversee NUP performance reviews and assist employees with Public Service Loan Forgiveness and employment verification requests.</p> </li><li> <p>Serve as the liaison for State Ethics filings and handle risk/campus police term reports.</p> </li><li> <p>Provide general administrative support to the CHRO and HR department as needed.</p> </li><li> <p>Other duties, as assigned</p> </li></ul> <p>Requirements:</p> <p>MINIMUM REQUIREMENTS TO BE SUCCESSFUL IN THE ROLE:</p> <ul> <li>High School Diploma. </li><li>At least two years of relevant professional experience. </li></ul> <p>WHAT ELSE WILL MAKE YOU STAND OUT:</p> <ul> <li>At least five years of related experience; preferably in an executive assistant role. </li><li>Knowledge of office administration, including scheduling, correspondence, and record-keeping. </li><li>Proficiency in using office software (e.g., Microsoft Office Suite) </li><li>Strong database experience: preferably with specialized software used by the institution, including but not limited to Banner, Argos, HRCMS, and Asana. </li><li>Demonstrably strong Excel skills as well as experience with data tracking, reporting, and analysis. </li><li>Experience using project management software; preferably as a project lead. </li><li>Familiarity with the structure and functions of higher education institutions. </li></ul> <p>WHAT WE NEED FROM YOU:</p> <ul> <li>Excellent verbal and written communication skills for interacting with senior administrators, faculty, staff, and external stakeholders. </li><li>Strong organizational skills to manage multiple tasks, prioritize work, and maintain accurate records. </li><li>Ability to manage time effectively, schedule appointments, and meet deadlines. </li><li>Skills in identifying issues and developing practical solutions. </li><li>Ability to handle sensitive information with discretion and maintain confidentiality. </li><li>Ability to maintain accuracy and thoroughness in all tasks. </li><li>Capability to adjust to new tasks, processes, and changes in the a fast paced work environment. </li><li>Ability to build and maintain positive relationships with senior administrators, faculty, staff, and external stakeholders. </li><li>Proactive approach to tasks, anticipating needs, and taking initiative to address them. </li><li>Demonstrate a high level of professionalism in all interactions and tasks. </li><li>A dedication to collaboration and contributing to a strong institutional culture. </li></ul> <p>WHAT YOU SHOULD KNOW ABOUT THE PHYSICAL DEMANDS & WORK ENVIRONMENT</p> <ul> <li>Ability to move and lift office supplies up to 20 pounds. </li><li>Sitting for substantial periods of time. </li></ul> <p>HOW TO JOIN OUR COMMUNITY:</p> <p>We are thrilled that you are considering joining the Bristol community.
