<p>POSITION PURPOSE The Finance Coordinator serves as the primary party responsible for Accounts Payable for the District. The Finance Coordinator also assists the Facilities Manager, as well as helping to manage the District Offices in general.</p> <p>ESSENTIAL FUNCTIONS ?Primary party responsible for Accounts Payable for the District, including but not limited to: ?Reviews, processes, and pays all authorized invoices. ?Ensures timely entry of payables data to the financial accounting software. ?Maintains vendor file and responds to vendor inquiries regarding payment. ?Maintains files of paid/unpaid invoices and open/closed purchase orders. ?Prepares, verifies, and distributes checks, and files copies. ?Prepares warrants for approval by Director of Finance & Operations, Superintendent of Schools, and School Committee ?Maintain W-9 forms for all school district vendors. ?Maintains supporting information to assist in the reconciliation process. ?Responds to expenditure questions from school staff. ?Prepares information in response to ad hoc requests for payment histories. ?Track and manage contracts associated with purchase orders. ?Prepare turnover sheets and make bank deposits for cash and checks received. ?Prepare and file all 1099's for the district. ?Assists the Facilities Manager with certain tasks, including but not limited to: ?Reconcile invoices to purchase orders. ?Produce and/or maintain reports on expenditure trends. ?Assist with operation of the District Offices, including but not limited to: ?Answer District Office door and screen visitors. ?Receive CORI applications when needed. ?Manage district equipment, such as postage machines and copiers. ?Places orders for items such as office supplies, copy paper, and more. ?Help distribute mail for District employees. ?Other duties as assigned by the Director of Finance & Operations.</p> <p>SUPERVISION</p> <ul> <li>None. </li></ul> <p>WORK ENVIRONMENT The work environment characteristics described here are representative of those an employee encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.</p> <p>?The noise level in the work environment is moderate.</p> <p>EDUCATION AND EXPERIENCE ?Minimum of an associate degree in accounting, business, finance, or a related field or relevant work experience. ?At least three (3) years of experience in an accounting, business, or finance role. ?Strong organizational, communication, and customer service skills, attention to detail, and ability to maintain confidentiality and meet deadlines required. ?Prior experience in a school district or municipal environment helpful, but not required. ?Prior experience with accounting software helpful, but not required.</p> <p>KNOWLEDGE ABILITY AND SKILLS ?Ability to use word processing and spreadsheet tools as well as the ability to type proficiently. ?Ability to establish and maintain effective relationships with other employees and vendors, in both oral and written communication. ?Ability to use technology as a means to understand and analyze data that is associated with the content area. ?Ability to read, analyze, and interpret documents such as procedure manuals, safety rules, operating and maintenance instructions. ?Ability to write reports and job-related correspondence. ?Ability to speak effectively with administrators, teaching, and other staff. ?Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. ?Ability to compute rate, ratio, and percent and to develop and interpret graphs, tables, and charts. ?Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. ?Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.</p> <p>PHYSICAL REQUIREMENTS The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
