Join a dedicated, diverse, and inclusive team of more than 8,000.</p> <p>Position Highlights:</p> <p>This position supports the inaugural Chair and new Department of Translational Pathology, providing high-level administrative support that requires sound judgment, discretion, and the ability to work independently to ensure smooth and efficient departmental operations. This role demands a high level of competence, strong problem-solving skills, excellent communication abilities, and interpersonal effectiveness. Key responsibilities include managing complex administrative tasks such as maintaining complex schedules, organizing meetings and conference calls, coordinating travel itineraries, and producing high-quality meeting minutes and reports. Success in this role requires the ability to make informed decisions, maintain confidentiality, and implement effective administrative procedures.</p> <p>The Ideal Candidate will have:</p> <ul> <li>Administrative support experience in an office setting. </li><li>Experience in healthcare, research/academic, strongly preferred. </li><li>Exceptional customer service and communication skills. </li><li>Strong command of English grammar, spelling, and proofreading skills. </li><li>Ability to work in a fast-paced environment. </li><li>Self-starter who can organize work and anticipate issues with limited supervision. </li><li>Familiarity with office organization protocols and procedures. </li><li>Discretion and judgment in handling confidential information. </li><li>Proficiency with advanced Microsoft Office applications - including Word, Excel, PowerPoint, and Outlook. </li><li>Demonstrates ability to assess priorities and handle multiple tasks simultaneously to meet deadlines with attention to detail and quality. </li></ul> <p>Responsibilities:</p> <ul> <li>Oversees and coordinates administrative services for the Chair/Program Leader to ensure efficient daily operations. </li><li>Manages the Chair's calendar, schedules meetings, prepares detailed itineraries, organizes meeting agendas, and coordinates off-site events seamlessly. </li><li>Prioritizes and adjusts the Chair's engagements according to urgency and shifting priorities. </li><li>Establishes and maintains procedures and standards to enhance office effectiveness. </li><li>Independently resolves issues and conflicts, applying knowledge of departmental policies, procedures, and operations. </li><li>Drafts, finalizes, and communicates both internal and external correspondence on behalf of the Chair. </li><li>Manages expense reports, check requests, and purchase orders, coordinates office supply orders, and provides additional administrative support as required. </li><li>Coordinates all aspects of domestic and international travel, including transportation, lodging, itinerary preparation, and supporting materials. </li><li>Assists with Security, Facilities, IT, and Environmental Services as requested, and coordinates conference room bookings, facilities requests, environmental services, and safety/security arrangements for the division. </li><li>Coordinates catering for Department Interviews, and Planned Events. </li></ul> <p>Credentials and Qualifications:</p> <ul> <li>High School Diploma or GED required. </li><li>Minimum of five (5) years of administrative support experience, preferably in an academic, medical, or research environment. </li><li>Exceptional organizational and time management skills, with strong attention to detail. </li><li>Excellent verbal and written communication skills. </li><li>Proven ability to handle confidential information with discretion. </li><li>Professional demeanor, demonstrating integrity, initiative, and reliability. </li><li>Ability to effectively represent the mission, values, and strategic priorities of the organization and its leadership through work products, conduct, and communication. </li><li></li></ul> <p>Preferred:</p> <ul> <li>Associate degree and/or Bachelor's degree. </li><li>Prior experience in a healthcare setting is preferred. </li></ul> <p>Equal Employment Opportunity</p> <p>Moffitt Cancer Center is an Equal Opportunity/Affirmative Action Employer.
