<p>Job Description:</p> <p>Events Coordinator for CREC Greater Hartford Academy of the Arts High School - Full Day</p> <p>Greater Hartford Academy of the Arts Full Day is seeking a part-time Events Coordinator to play a crucial role in planning, organizing, and executing a wide range of school events, performances, exhibitions, and activities. This dynamic role requires a collaborative, creative and detail-oriented individual who can effectively manage the logistics and coordination of events that showcase our students' talents and creativity.</p> <p>Essential Functions: As an Events Coordinator, your responsibilities will include:</p> <p>Event Planning:</p> <ul> <li>Collaborate with school administration, faculty, and students to conceptualize and plan events that align with the school's artistic and educational goals. </li><li>Work closely with the arts team to refine current school wide showcases. </li><li>Other events that will require oversight: school dances, cultural celebration events, recruitment events and other community events. </li><li>Develop comprehensive event timelines, and action plans to ensure safe and successful events. </li><li>Secure necessary permissions for events. </li></ul> <p>Logistics Management:</p> <ul> <li>Coordinate event logistics, including venue selection, set-up, voluntary staff/chaperones, decoration, and breakdown. </li><li>Oversee technical requirements such as lighting, sound, and stage design. </li><li>Ensure the availability of necessary equipment, materials, and supplies for each event. </li><li>Notify all stakeholders of event needs (i.e., custodial staff, security, administration, students, parents etc.). </li></ul> <p>Vendor and Performer Coordination:</p> <ul> <li>Identify, and manage relationships with event vendors, including catering, workshop artists, guest speakers, audiovisual, and entertainment providers. </li><li>Liaise with student performers, artists, and participants to ensure their needs and requirements are met. </li></ul> <p>Promotion and Marketing:</p> <ul> <li>Develop marketing strategies to promote school events within the school community and to external audiences. </li><li>Create promotional materials such as flyers, posters, and social media content. </li></ul> <p>Guest Services:</p> <ul> <li>Provide excellent guest service to attendees, including answering inquiries, managing ticketing, and ensuring a positive event experience. </li><li>Address and resolve any issues or concerns that may arise during events. </li></ul> <p>Post-Event Evaluation:</p> <ul> <li>Conduct post-event evaluations to assess the success of each event and identify areas for improvement. </li><li>Gather feedback from attendees and stakeholders. </li></ul> <p>Experience and Qualifications:</p> <ul> <li>Bachelor's degree in Event Management, Arts Administration, or a related field (preferred). </li><li>Proven experience in event planning and coordination, particularly in the arts or education sector. </li><li>Strong organizational skills and attention to detail. </li><li>Excellent interpersonal and communication skills. </li><li>Creative problem-solving abilities. </li><li>Ability to use computer network systems and software applications as needed. </li><li>Ability to work flexible hours, including evenings and weekends, to accommodate event schedules. </li><li>A passion for the arts and a commitment to fostering a creative and supportive environment for students. </li></ul> <p>Certification/License:</p> <ul> <li>Motor Vehicle Operator's License or ability to provide own transportation to school site. </li></ul> <p>Work Schedule, Sept-June:</p> <p>Monday - Friday, 20 hours a week in addition to some evenings and weekends.</p> <p>For further information, please contact Jaclynn Hart, Artistic Director, Greater Hartford Academy of the Arts High School at jhart@crec.org.</p> <p>Applications are only accepted online at www.crec.org/careers/</p> <p>JOB ID 13368 @ CREC: External Job Opportunities | Careers | Hartford, Connecticut</p>
