<p>POSITION SUMMARY:</p> <p>The Administrative Assistant supports the Doctor of Optometry Program under the direction of the Dean. This role manages a diverse workload, requiring strong organizational skills, self-direction, and proficiency with modern office technology. The position serves as a key liaison between the Dean's office, faculty, students, and external stakeholders.</p> <p>This is a hybrid, part-time position (20 hours per week), and includes eligibility for all RMU's 401(k) retirement plan starting the first day of the month following 90 days of employment. In addition, this position receives 17 paid holidays annually, and 3 paid floating holidays annually.</p> <p>REPORTING RELATIONSHIPS:</p> <p>Position Supervised by: Dean of the College of Optometric Medicine</p> <p>KEY RESPONSIBILITIES:</p> <ul> <li>Provide comprehensive administrative support, including document preparation, scheduling, record maintenance, and coordination with university personnel. </li><li>Manage calendars, meetings, travel arrangements, and expense reports for the Executives of the College of Optometric Medicine. </li><li>Serve as the primary point of contact for internal and external communications. </li><li>Assist with accreditation documentation, compliance records (HIPAA, licensure, immunizations), and background checks. </li><li>Support faculty and student recruitment, retention, and certification tracking. </li><li>Prepare and distribute evaluation materials; record meeting minutes. </li><li>Collaborate with academic personnel (registrar, librarian, faculty) and perform general office duties. </li><li>Contribute to process improvements and workflow efficiency. </li></ul> <p>WORKING REQUIREMENTS/CONDITIONS:</p> <p>Education/Certification:</p> <p>Bachelor's degree or Equivalent Experience Required</p> <p>Required Knowledge:</p> <p>Understanding of and adherence to FERPA regulations.</p> <p>Knowledge of office equipment, including fax machines, copiers, and scanners</p> <p>Experience Required:</p> <p>2+ years relevant experience in an academic or healthcare setting or familiarity with working in a higher education environment is preferred.</p> <p>Skills/Abilities:</p> <p>Excellent grammar and editing skills</p> <p>Excellent interpersonal communication skills</p> <p>Highly skilled with using the Microsoft Office Suite, particularly Word and Excel including pivot tables</p> <p>Ability to keep track of a large department budget</p> <p>Technically proficient and learns and uses new technology as requested</p> <p>Responsible, timely, detail-oriented, and organized</p> <p>Takes initiative and can work well with limited supervision</p> <p>Enjoys creating and improving workflow processes</p> <p>Growth-mindset with desire and willingness to develop additional skills</p> <p>Excellent problem-solving skills</p> <p>Enjoys creating and improving processes</p> <p>PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION</p> <p>Finger dexterity:</p> <p>Using primarily just the fingers to make small movements such as typing, picking up small objects, or pinching fingers together</p> <p>Talking:</p> <p>Especially where one must convey detailed or important instructions or ideas accurately, loudly, or quickly</p> <p>Average Hearing:</p> <p>Able to hear average or normal conversations and receive ordinary information</p> <p>Average Visual Abilities:</p> <p>Average, ordinary visual acuity necessary to prepare or inspect documents or products, or operate machinery</p> <p>Physical Strength:</p> <p>Sedentary work. Sitting most of the time. Exerts up to 10 lbs. of force occasionally (Almost all office jobs)</p> <p>WORKING CONDITIONS</p> <p>None:</p> <p>No hazardous or significantly unpleasant conditions (Such as in a typical office)</p> <p>MENTAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION</p> <p>Reasoning Ability:</p> <p>Deal with a variety of variables under only limited standardization</p> <p>Able to interpret various instructions</p> <p>Mathematics Ability:</p> <p>Perform basic math skills, use decimals to compute ratios and percentages, and draw and interpret graphs</p> <p>Language Ability:</p> <p>Read a variety of books, magazines, instruction manuals, atlases, and encyclopedias;</p> <p>Prepare memos, reports, and essays using proper punctuation, spelling, and grammar</p> <p>Communicate distinctly with appropriate pauses and emphasis; correct pronunciation (or sign equivalent); and variation in word order using present, perfect, and future tenses</p> <p>INTENT AND FUNCTION OF JOB DESCRIPTIONS</p> <p>Job descriptions assist organizations in ensuring that the hiring process is fairly administered and that qualified employees are selected.
