This position requires organization and detailed-oriented accounting experience. The Accounting Specialist will analyze information, maintain complete and accurate records, assist with routine accounting duties, and engage with all stakeholders. This role requires strong analytical skills, high attention to detail, the ability to interpret grant requirements, and effective collaboration with internal program teams and external granting agencies. The Specialist ensures accurate grant billing, reporting, compliance, and reconciliation within established deadlines.</p> <p>Education, Knowledge, & Skills:</p> <ul> <li>Bachelor's degree in Accounting, Finance, or related field required. </li><li>Strong understanding of GAAP and fund accounting. </li><li>Knowledge of grant regulations (federal, state, municipal, and private). </li><li>Experience with ERP systems (NetSuite preferred). </li><li>Proficiency in Excel and Microsoft Office applications. </li><li>Strong organizational, communication, and time-management skills. </li><li>Ability to interpret complex grant contracts and financial requirements. </li><li>Experience in nonprofit or healthcare environments preferred. </li><li>Bilingual (English/Spanish) preferred. </li></ul> <p>Essential Duties & Responsibilities:</p> <p>Grant Management & Compliance</p> <ul> <li>Review new grant contracts to determine financial requirements and billing structure. </li><li>Maintain thorough working knowledge of all active grants, funding restrictions, and reporting deadlines. </li><li>Track allowable costs and ensure compliance with federal, state, and private grant regulations (including OMB Uniform Guidance when applicable). </li><li>Communicate with program managers to validate financial activity and ensure spending aligns with grant budgets. </li><li>Assist in responding to grantor questions related to budgets, invoicing, and reporting. </li></ul> <p>Billing & Reporting</p> <ul> <li>Prepare and submit accurate and timely monthly, quarterly, and annual grant invoices. </li><li>Reconcile grant billings to the general ledger and resolve discrepancies. </li><li>Maintain detailed financial documentation to support all grant charges. </li><li>Prepare financial reports for grantors, auditors, and internal leadership. </li></ul> <p>Grant Accounting</p> <ul> <li>Establish, maintain, and reconcile grant budgets within the accounting system. </li><li>Post journal entries related to grant revenue, adjustments, and cost reallocations. </li><li>Review and reconcile grant-related accounts monthly. </li><li>Monitor spending trends and anticipated funding issues; alert management as needed. </li></ul> <p>Audit & Compliance Support</p> <ul> <li>Assist with annual financial audits and grant-specific audits. </li><li>Prepare supporting documentation and respond to auditor requests. </li><li>Help ensure compliance with internal controls and grant requirements. </li></ul> <p>Cross-Department Support</p> <ul> <li>Serve as a finance liaison to program teams for grant-related questions. </li><li>Support additional accounting functions as needed, including general ledger work, journal entries, reconciliations, financial analysis, and reporting. </li><li>Support the annual budgeting process, specifically around grant-funded positions and programs. </li></ul> <p>Note: Employees are held accountable for all duties of this job. Less than 40 hours/week will be prorated and adjusted to the appropriate FTE.* </li><li>Jefferson Center pay is determined by various factors including education level, licensure level, years of relative experience, and internal equity amongst current staff. </li></ul> <p>Application Deadline: 4/27/2026.
