<p>Position Summary</p> <p>Participates in the day-to-day execution of the Bank and its subsidiaries Accounts Payable Function and duties adhering to established policies and procedures. Responsible for the timely processing of and payment of invoices. This includes the proper recording of Prepaid Assets and Fixed Assets.</p> <p>Essential Functions</p> <ul> <li>Collect and review invoices, including employee T&E requests, confirming proper documentation and approval before processing </li><li>Code invoices for proper general ledger designation, including fixed asset or prepaid expenses, and ensure proper withholding of any required sales tax </li><li>Montior Accounts Payable email and address any vendor or employee issues within a timely manner </li><li>Print checks and check run detail reports and submit for supervisory review </li><li>Mail invoices and payments </li><li>Filing of all the bills and contracts </li><li>Maintain schedules for processing monthly rent payments and quarterly tax payments on behalf of the bank's individual branches </li><li>Respond to internal and external inquiries regarding invoices including requests by auditors and examiners </li><li>Process and file all applicable sales and use tax reports and remittances in accordance with frequencies established by state law </li><li>Processing of incoming mail </li><li>Manage vendor database in Accounts Payable system including gathering W-9 and ACH information while also coordinating annual 1099 NEC and MISC forms for distribution </li><li>Compile and research outstanding Accounts Payable checks for possible escheatment </li><li>Coordinate the distribution of employee corporate credit card usage for proper documentation and approval </li><li>Perform weekly and monthly general ledger reconcilements as needed </li><li>Monitor and manage Accounts Payable and Employee Expense policies and procedures </li><li>Develop and monitor Key Performance Indicators for AP function </li></ul> <p>Additional Functions</p> <ul> <li>Provide backup to the Wire Transfer function </li><li>Process journal entries as needed </li><li>Organize the Bank's use of UPS Campus Ship and respond to related inquiries </li><li>Reconcile official checks and maintain file of voided checks </li><li>Perform daily reconciliation of accounts payable DDA and GL suspense account </li><li>Provide backup for the purchasing function, including approval of weekly supply orders </li><li>Provide backup for the annual Escheatment of official checks to the appropriate State </li></ul> <p>Education and Experience</p> <ul> <li>Minimum of a High School Diploma </li><li>Minimum of 2 years of Previous Accounts Payable experience required </li><li>Knowledge of State Sales and Use Tax guidelines helpful </li></ul> <p>Licenses and Certifications</p> <ul> <li>N/A </li></ul> <p>Knowledge Requirements</p> <ul> <li>Ability to analyze and interpret vendor invoices and employee expense reports </li><li>Ability to effectively communicate with outside vendors, employees, and auditors </li><li>Ability to write reports, business correspondence and procedures manuals </li><li>Proficient in use of Microsoft Windows, Excel, Outlook and Word </li><li>Strong organization and time management skills are needed in order to handle a high volume of invoices and meet deadlines </li></ul> <p>Physical Requirements</p> <ul> <li>Ability to use standard office equipment such as telephone, computer keyboard, copier, fax, calculator and a typewriter </li><li>Ability to lift and pack boxes up to 15 pounds </li></ul> <p>Working Conditions</p> <ul> <li>Moderate sound as in business office with office machines, computers, and people traffic. </li></ul> <p>Compliance</p> <ul> <li>It is the responsibility of each bank staff member and of management to adhere to policies and procedures designed to implement compliance with the laws and regulations to which the bank is subject.
