<p>Position Information</p> <p>Position Number P02664 Position Title CSCT Support Coordinator, Indigenous programs Division/Portfolio Continuing Studies and Corporate Training Department/Program C/S Administration Location To Be Determined Other Flexible Work Options Any Okanagan College Location Your Opportunity</p> <p>Under the supervision of the Associate Director of Continuing Studies and Corporate Training, the CSCT Support Coordinator, Indigenous programs plays a vital role in providing inclusive and culturally safe supports for Indigenous students, families, and communities as part of the CSCT program or course delivery team. This position is responsible for coordinating essential services, maintaining strong relationships, and supporting the implementation of programs or courses that honor and reflect Indigenous ways of knowing, being, and doing within educational and community-based settings.</p> <p>Functions and Duties</p> <p>Key Responsibilities</p> <ul> <li>Program Delivery Support: Support the daily operations of assigned programs and courses, including preparing schedules and managing room bookings. </li><li>Administrative Support: Track and maintain student data in registration systems, assist with communications to students and instructors, and monitor supply and material budgets. </li><li>Relationship Building: Cultivate meaningful relationships with Indigenous students, families, and community members to ensure their needs are met. </li></ul> <p>The CSCT Support Coordinator, Indigenous programs is essential in providing a positive learner experience and helps to uphold the department's commitment to quality and responsiveness.</p> <ol> <li>Culturally Responsive Program and Course Implementation Support </li></ol> <ul> <li>Supports coordination the day-to-day operations of Continuing Studies & Corporate Training (CSCT) programs and courses, ensuring efficient delivery and providing support to implement a positive, culturally safe learning experience from intake to program completion. </li><li>Coordinates activities and student celebrations in ways that work for Indigenous learners and communities. </li><li>Serves as a primary resource for instructors providing essential logistical support, materials, and information on high-quality, culturally relevant learning experiences and culturally informed practices. </li><li>Contributes to marketing efforts by ensuring all course information is accurate and culturally sensitive across digital and print platforms, supporting program visibility and enrollment. </li><li>Embody and model cultural sensitivity and an understanding of Indigenous protocols and Informed Practice when engaging with Indigenous students, instructors, and communities. </li><li>Works closely with Indigenous services to coordinate wrap-around services as required. </li></ul> <ol start="2"> <li>Instructor, Student, and Partner Support </li></ol> <ul> <li>Manage program logistics, including maintaining schedules, booking rooms, and managing instructor contracts to ensure accurate and timely program delivery </li><li>Support course start-up and close-out activities, preparing and distributing necessary materials, supplies, and administrative documents. </li><li>Provide timely and accurate communication to students regarding program schedules, updates, and requirements, acting as a reliable point of contact. </li><li>Support coordination of practicum placements, collaborating with external partners to secure and maintain quality placement opportunities for learners. </li></ul> <ol start="3"> <li>Data, Reporting, and System Support </li></ol> <ul> <li>Compile program data to inform decision-making, evaluate program effectiveness, and support budget planning. </li><li>Prepare and distribute accurate reports and documentation in alignment with departmental and institutional requirements. </li><li>Maintain compliance with college data standards and privacy policies through meticulous record-keeping and documentation. </li><li>Troubleshoot and resolve issues within student registration systems, ensuring data integrity and reliable reporting. </li></ul> <ol start="4"> <li>Budget and Resource Management </li></ol> <ul> <li>Monitor program budgets for supplies and materials, providing input into purchasing and budgetary decisions. </li><li>Track and reconcile financial documentation, including receipts and purchase orders, to support accurate budget management. </li><li>Assist with financial reporting and variance tracking in partnership with the Program Coordinator. </li></ul> <p>5.Performs other duties as assigned.</p> <p>Education and Experience</p> <p>Required:</p> <ul> <li>A diploma in Business Administration, Office Administration, or a related field. (would you consider Indigenous Education Diploma?) </li><li>Minimum of 2 years of related experience providing administrative, program, or operational support, preferably in a post-secondary or training environment. </li><li>Demonstrated experience in coordinating schedules, contracts, and logistics. </li><li>Proven experience in data compilation, analysis, and report preparation. </li><li>Experience providing front-line support to instructors, students, or clients in a service-oriented setting. </li><li>Equivalent combinations of education and experience will be considered. </li><li>Demonstrated knowledge and understanding of local Indigenous communities, protocols and inherent rights. </li><li>Experience in and demonstrated understanding of the complex and intergenerational impacts faced by Indigenous learners. </li><li>Preference will be given to candidates of Indigenous ancestry and lived experience. </li></ul> <p>Preferred / An Asset:</p> <ul> <li>Experience using student information and registration systems (e.g., Destiny One, Banner). </li><li>Familiarity with marketing or communications activities in a program delivery context. </li><li>Understanding of lived experiences of Indigenous peoples. </li><li>Training in culturally informed practice and trauma informed care </li></ul> <p>Skills and Abilities</p> <ul> <li>Working knowledge of program and course delivery processes. </li><li>Understanding of data integrity principles and information privacy standards. </li><li>General knowledge of budgeting and financial tracking practices. </li><li>Foundational understanding of Indigenous cultural awareness and reconciliation, with a willingness to learn and apply Indigenous protocols. </li><li>Exceptional organizational and time management skills, with the ability to coordinate multiple priorities and deadlines. </li><li>Proficiency in Microsoft Office applications (Word, Excel, Outlook, Teams) and the ability to learn new digital platforms. </li><li>Effective verbal and written communication skills for liaising with diverse stakeholders. </li><li>Strong analytical skills to interpret and present program data. </li><li>Problem-solving and troubleshooting skills to independently resolve routine issues. </li><li>Ability to deliver accurate, timely, and high-quality work with keen attention to detail. </li><li>Ability to adapt to changing priorities while maintaining a focus on service and results. </li><li>Ability to foster positive and respectful working relationships with a variety of stakeholders. </li><li>Ability to exercise sound judgment and discretion when handling confidential or sensitive information. </li><li>Ability to contribute to a positive and inclusive learner experience while supporting departmental goals. </li></ul> <p>Preferred Qualifications Desired Start Date 09/02/2025 Position End Date (if temporary) 03/27/2026 Schedule</p> <p>part time - 3 - 7 hour days/week</p> <p>Annual Salary/Hourly Rate $33.93-$38.77/hour Appointment Type Support - On Call Special Instructions to Applicants</p> <p>Shortlisted internal candidates must notify the current Support Staff Bargaining Chairperson and People Services if they want a Union Observer during interviews and final selection of candidates.</p> <p>Employee Group Support</p>
