<p>The Residential Administrative Assistant position handles the following responsibilities:</p> <ul> <li> <p>Provides administrative support to programs, directors, managers and other professional staff</p> </li><li> <p>Receptionist at facility</p> </li><li> <p>Maintains schedules and appointments</p> </li><li> <p>Arranges meetings, luncheons, conferences</p> </li><li> <p>Prepares meeting materials</p> </li><li> <p>Takes minutes at meetings, transcribes, summarizes and distributes as needed</p> </li><li> <p>Maintains program policy and procedural manual</p> </li><li> <p>Reviews mail and handles routine responses which do not require Administrator's direct attention</p> </li><li> <p>Determines general responses to memos/correspondence and composes responses for signature</p> </li><li> <p>Enters and maintains database of management information system and generates reports</p> </li><li> <p>Assists professional staff within program and provides program support as needed</p> </li><li> <p>Performs General Office Duties</p> </li><li> <p>Uses computer programs to type correspondence, memos, forms, grants, workshop materials, etc.</p> </li><li> <p>Answers phone for agency and forwards calls or takes messages</p> </li><li> <p>Makes copies and distributes</p> </li><li> <p>Maintains petty cash</p> </li><li> <p>Schedules departmental conference room for meetings</p> </li><li> <p>Provides assistance with processing or computer problems</p> </li><li> <p>Provides assistance to staff as needed</p> </li><li> <p>Maintains files</p> </li><li> <p>Greets clients, families and visitors</p> </li><li> <p>Orders and maintains office supplies</p> </li><li> <p>Maintains and handles problems with office equipment</p> </li><li> <p>Assists with Billing</p> </li><li> <p>Identifies and verifies funding sources of new admissions</p> </li><li> <p>Assures services documented are processed correctly and in a timely manner</p> </li><li> <p>Develops and monitors processes and procedures to ensure uniformity across responsible areas/programs and identify/asses for improvement opportunities</p> </li><li> <p>Sets up quality controls</p> </li></ul> <p>High School Education or Equivalent</p> <p>Three years related experience</p> <p>Efficient use of Microsoft Office</p>
