<p>The Lead Medical Office Assistant (LMOA) performs various duties as a member of the health team in the treatment and care of patients and their families and also assists with tasks to support the health center unit. The position works under the supervision of an LPN/RN/NP.</p> <p>The Lead MOA must demonstrate knowledge of the principles of human growth and development over the lifespan, ability to recognize data reflective of the patient's status and inform the Registered Nurse/Licensed Practical Nurse/Nurse Practitioner of observations. The MOA is cognizant of the philosophy, standards, objectives and policies of the Department and the Organization.</p> <ul> <li>Greets and checks in patients and assists them in accessing services in a timely manner </li><li>Schedules patient appointments in Epic system. Makes reminder and "no show" calls, and provides schedule information to the practice. Prints, schedules, and confirms appointments </li><li>Performs a complete registration of patients' clinical, financial and demographic information into the Epic system. Responsible for the integrity of the data </li><li>Collects cash from patients for charges and co-payments. Completes all necessary documents for all payments accrued. Matches cash collected to receipts at end of session </li><li>Reconciles all charges into the system to the original source document </li><li>Verifies insurance coverage on all patients presenting for appointments </li><li>Sends correspondence to patients' residence in order to remind, recall or reschedule appointments </li><li>Refers complex billing issues to the Practice Administrator or Mental Health Billing Coordinator for assistance and resolution </li><li>Maintains effective communication with patients, families, peers and other members of the health care team </li><li>Demonstrates the ability to set priorities and organize work. Identifies reports and solves </li><li>problems effectively. Identifies and reports staffing problems to appropriate manager or administrator. </li><li>Monitors patient flow in waiting room and proactively resolves patient flow issues related to registration and post-visit processing </li><li>Proficient in the use of EPIC EMR or comparable health information technology </li><li>Assists patients with referrals as needed </li><li>Performs any and all duties involving direct patient care as assigned by the RN/LPN/NP/MD within the framework of the New York State Nurse Practice Act </li><li>Performs vision and hearing screening </li><li>Takes and monitors vital signs </li><li>Performs heights, weights and head circumference measurement </li><li>Performs phlebotomy and fingersticks </li><li>Performs electrocardiograms </li><li>Maintains Patient Charts/records/clinic logs and database as necessary </li><li>Assists with medical procedures as required, i.e., colposcopy, and biopsies </li><li>Assists with the placement of pulse oximetry </li><li>Performs routine maintenance/cleaning of equipment and instruments </li><li>Notifies appropriate personnel regarding any malfunction in equipment </li><li>Assists in inventory control for medical supplies </li><li>Sets up oxygen </li><li>Collects specimens </li><li>Retrieves lab, pathology and diagnostics data from the outside laboratories </li><li>Translates as needed </li><li>Provides instruction and information to patients </li><li>Acts rapidly and calmly during emergencies, initiates CPR and provides the necessary items called for by the team </li><li>Transports equipment as needed </li><li>Chaperones for examinations as indicated by nursing staff and prepares patients for physical examinations as indicated </li><li>Restocks exam/treatment rooms and monitors inventories of non-biological stock </li><li>Keeps examination rooms neat, clean and stocked </li><li>Ensures that all equipment is sterilized on a weekly basis or as required </li><li>Performs other duties as deemed necessary by the Nurse Manager or Assistant / Administrative Nurse Manager </li><li>Demonstrates the knowledge and skills necessary to provide care, based on physical, psychosocial, educational, safety, and related criteria, appropriate to the age of the patients served in assigned area. </li></ul> <p>Age-Specific Competencies (check all patient populations served)</p> <ul> <li>Neonate/Infant Pediatric: Adolescent, Adult, and Geriatric </li><li>Identifies physical, behavioral and emotional characteristics typical for the age group. </li><li>Modifies approaches based on patient age-specific needs and responses to treatment. </li><li>Provides care for patients based on age-specific needs. </li><li>Uses communication techniques, which are age appropriate. </li></ul> <p>B. Organizational/Managerial</p> <ul> <li>Is punctual and maintains a satisfactory attendance record. </li><li>Demonstrates professionalism in attitude, dress, decorum, and interactions with patients, clients, and co-workers. </li><li>Demonstrates reliability and trustworthiness. </li><li>Manages time and other resources to meet established goals and within agreed time frames. </li><li>Participates in the department's performance improvement activities. </li><li>Maintains patient/ employee confidentiality in the management of information. </li><li>Observes the health care system's compliance policies. </li><li>Actively participates in departmental meetings. </li><li>Assists with the orientation of new employees </li><li>Participates in QI projects as directed by the nurse manager </li><li>Attends in-service/conferences and completes regulatory requirements as directed </li><li>Trains and mentors MOAs in all aspects of the position. </li><li>Assist the Nurse Manager and the Assistant Nurse Manager with a bi-weekly inventory, identifying all medical items needed to order for the operation of the clinic, and forwards to list to the Nurse Manager and Assistant Nurse Manager. </li><li>Monitors the MOAs performance to ensure adherence to approved policies and procedures. </li><li>Assists the Nurse Manager and the Assistant Nurse Manager with assigned duties as needed. </li><li>Performs the duties as a preceptor for newly hired MOAs during orientation and completes the necessary forms re: orientation within the assigned timeframe. </li><li>Effective at taking appropriate initiative. </li><li>Reports problems, concerns or inconsistencies to Nurse Manager or Assistant Nurse Manager for further action. </li><li>Performs as a MOA as required to fill in for vacations, leave time, lunch hours, and to assist MOAs during heavy patient sessions, etc. </li><li>Demonstrates flexibility in the acceptance and completion of work assignments. </li><li>Maintains patient/employee confidentiality in the management of information. </li><li>Contributes to a cooperative, professional and mutually supportive work environment, being a team player. </li><li>Observes the organization's compliance policy. </li></ul> <p>C. Communication/Relationships</p> <ul> <li>Demonstrates a professional, courteous, and respectful attitude in dealing with patients, families and significant others. </li><li>Demonstrates a professional, courteous, and respectful attitude in dealing with patients, families and significant others, all members of the organization and extended community </li><li>Participates in the department's performance improvement activities. </li><li>Maintains patient/employee confidentiality in the management of information </li><li>Notifies appropriate staff of patient's status. </li><li>Helps to maintain a therapeutic environment </li><li>Follows spoken and written directions and responds appropriately to constructive feedback </li><li>Practices the principles of customer service training </li><li>Uses proper telephone etiquette. </li><li>Ensures that all patients, as well as co-workers receive personalized, prompt attention and are treated with receptiveness, dignity and respect. </li><li>Completes all necessary forms in an accurate and timely manner </li><li>Demonstrates good judgment, discretion and ability to problem solve </li><li>Ability to assume new assignments. </li></ul> <p>EDUCATION</p> <ul> <li>High School Diploma or GED required. </li><li>Formal training or previous work experience as a Medical Assistant or Patient Care Technician, or Certified Nursing assistant with hospital experience required. </li></ul> <p>LICENSES / CERTIFICATIONS</p> <ul> <li>CMA / PCT/ CNA Certification required. </li><li>Current BCLS required. </li></ul> <p>WORK EXPERIENCE</p> <ul> <li>Minimum of 2 years of work experience as a Medical Office Assistant (MOA) with the Institute for Family Health required. </li></ul> <p>ADDITIONAL SKILLS</p> <ul> <li>Bi-lingual, Spanish preferred. </li><li>Demonstrated ability to perform venipuncture, EKG, & vital signs required. </li><li>Demonstrated clinical, communication, interpersonal, and organizational skills required. </li><li>Demonstrated ability to problem solve using critical thinking required. </li><li>Demonstrated basic computer skills, including typing required. </li></ul> <p>Equal Employment Opportunity/Affirmative Action:</p> <p>The Institute for Family Health is an Equal Employment Opportunity Employer.
