<p>Job Summary</p> <p>Prepare payroll for the district, including related reports and deposits. Work under close supervision to ensure accurate and timely preparation of payroll records by following prescribed procedures and regulations.</p> <p>Reports to: Chief Financial Officer</p> <p>Supervises: none</p> <p>Pay Grade: 12 Month</p> <p>Qualifications:</p> <ul> <li>Knowledge of basic accounting procedures </li><li>Ability to maintain accurate and auditable records </li><li>Ability to use calculator (10-key by touch) </li><li>Ability to use personal computer and software to create spreadsheets, databases, and word processing documents </li><li>Proficiency in typing (50 wpm), keyboarding and file maintenance </li><li>Ability to work with numbers in accurate and rapid manner to meet established deadlines </li><li>Ability to communicate effectively </li><li>Ability to pass district administered skills test </li></ul> <p>Major Responsibilities and Duties:</p> <p>Payroll Accounting:</p> <ul> <li>Prepares all payrolls bi-weekly and special payrolls </li><li>Prepares payroll checks for all employees and distributes to campuses and departments </li><li>Balances payroll earnings and deductions; makes related transfers of funds and deposits </li><li>Receives and audits time sheets for all district employees </li></ul> <p>Data Entry:</p> <ul> <li>Prepares and submits payroll reports and forms including those required by IRS, Public Schools/Education Retirement System, Federal Insurance Contributors' Act (FICA), and Workers' Compensation Commission </li><li>Prepares and posts all payroll changes including payroll deductions, salary changes, termination, and new employee information </li></ul> <p>Records and Reports:</p> <ul> <li>Maintains physical and computerized files including payroll records, absent-from-duty reports, and service records </li></ul> <p>Other:</p> <ul> <li>Communicates with Human Resources, campus secretaries, and employees to ensure accuracy of information reported; resolves payroll problems and inquiries </li><li>Responds to requests from financial institutions regarding verification of employment </li><li>Maintains confidentiality of information </li></ul> <p>Ability to:</p> <ul> <li>Understand, interpret, and apply pertinent laws, rules, regulations, and procedures </li><li>Organize files and keep accurate records </li><li>Work effectively with employees, students and the public </li><li>Address large groups of students, parents, community members, and administrators </li><li>Communicate effectively orally and in writing </li><li>Ability to speak, read, and write in a language other than English may be required for some positions. </li></ul> <p>POSITION REQUIREMENTS:</p> <p>EDUCATION:</p> <ul> <li>High School Diploma or equivalent </li><li>Three years payroll accounting experience </li></ul> <p>The information contained in this job description is for compliance with the Americans with Disabilities Act (ADA) and is not an exhaustive list of the duties performed for this position.
