<p>Position Profile</p> <p>The Senior On-Site Service Specialist provides operational support across multiple service areas, including high-volume duplicating and production printing, mail services, shipping and receiving, and bindery functions. This role may also support reception, hospitality, file services, meeting setups, quality control, and light building services.</p> <p>Due to the higher level of customer interaction, presentation, and telephone skills required-particularly when performing temporary or occasional receptionist duties-this position is classified as Senior level. The role reports directly to the Site Manager, Site Supervisor, or Assistant Site Manager, depending on site structure.</p> <p>Job Duties and Responsibilities</p> <ul> <li>Operate high-volume and production copy machines; perform binding and finishing work. </li><li>Ensure convenience copiers are operating properly through daily inspections; clear paper jams and report issues to technicians. </li><li>Perform basic equipment troubleshooting and escalate service calls as needed. </li><li>Set up equipment per customer requirements, including adding toner and stocking paper. </li><li>Perform scanning and imaging of documents. </li><li>Provide temporary or occasional reception services as required. </li><li>Maintain records for management reports and supply inventories. </li><li>Distribute mail, fax transmissions, and office supplies to designated locations. </li><li>Calculate charges for completed jobs, maintain logs, and generate reports as required. </li><li>Respond to and coordinate customer service requests. </li><li>Perform filing duties based on customer requests, including document purging and archiving. </li><li>Deliver completed jobs to designated customer locations, both on-site and off-site. </li><li>Maintain daily meter readings and service logs. </li><li>Travel between customer buildings as required. </li><li>Answer customer inquiries regarding job status and feasibility. </li><li>Ensure copier areas are neat, organized, and adequately stocked. </li><li>Perform shipping and receiving duties. </li><li>Assist with meeting room and conference room setups. </li><li>Support building occupant moves within assigned facilities. </li><li>Perform light maintenance and cleaning duties as assigned. </li><li>Occasionally support mailroom dock work (shipping and receiving). </li><li>Work evenings, weekends, or off-hours as required for overtime or emergency response. </li><li>Operate bindery and finishing equipment, including shrink-wrap machines, paper cutters, hole drills, joggers, tape machines, stackers, staplers, and scales. </li><li>Use copier equipment, postage meters, fax machines, PCs, and calculators. </li><li>Capture required data for Ricoh MOR, SPG, and job logs. </li><li>Maintain working knowledge of Ricoh's services portfolio and technologies. </li><li>Perform other duties as assigned. </li></ul> <p>Qualifications</p> <p>Education, Experience, and Certifications</p> <p>Required:</p> <ul> <li>High school diploma or GED. </li><li>1-2 years of related work experience. </li><li>Basic computer proficiency, including Microsoft Office Suite. </li></ul> <p>Preferred:</p> <ul> <li>Prior experience in copy/print operations. </li><li>Valid driver's license and minimum auto insurance per Ricoh policy (site dependent). </li></ul> <p>Knowledge, Skills, and Abilities</p> <ul> <li>Working knowledge of copier and related production equipment. </li><li>Understanding of shipping and receiving procedures. </li><li>Basic electronics knowledge preferred. </li><li>Ability to work independently and adapt to changing priorities. </li><li>Ability to determine proper packing methods and verify packing slips. </li><li>Ability to comprehend mail delivery instructions. </li><li>Strong troubleshooting and problem-solving skills. </li><li>Ability to read and understand technical manuals and documentation. </li><li>Excellent customer service, interpersonal, and verbal communication skills. </li></ul> <p>Working Conditions, Mental and Physical Demands</p> <ul> <li>Frequent exposure to copier and fax equipment noise, toner, temperature changes, and paper handling. </li><li>Exposure to weather conditions when traveling between buildings. </li><li>Daily interaction with customers, employees, managers, and dispatch teams; occasional contact with vendors and service technicians. </li><li>Fast-paced environment with tight deadlines, requiring adaptability and resilience. </li><li>Physical demands include prolonged standing, walking, bending, reaching, lifting up to 50 lbs, and pushing or pulling equipment weighing up to 400 lbs. </li><li>Walking between buildings may be required. </li></ul> <p>The above statements describe the general nature and level of work performed by individuals in this role and are not intended to be an exhaustive list of all responsibilities, skills, or working conditions.</p>
