<p>KANSAS CITY PUBLIC SCHOOLS</p> <p>Job Title: Bond Planning & Construction Office Manager</p> <p>Job Title Code: 00985</p> <p>Salary Grade: S614 $51,584 - $80,847</p> <p>Department: Operations</p> <p>Reports To: Officer of Bond Planning & Construction</p> <p>FLSA Status: Exempt</p> <p>Date Prepared: April 2026</p> <p>PURPOSE OF JOB:</p> <p>In April 2025, Kansas City voters approved the first General Obligation Bond in more than 50 years to fund capital improvements at all KCPS schools. The Bond Planning & Construction Office Manager provides comprehensive and skillful administrative, operational and logistical support to the Bond Planning & Construction Office. This role ensures the smooth functioning of the Division by managing communication, coordinating schedules, supporting project documentation, and maintaining organized systems that enable efficient delivery of school construction and renovation projects.</p> <p>What You'll Be Doing: (Responsibilities)</p> <p>Administrative & Executive Support</p> <ul> <li>Manage calendars, schedule meetings, coordinate site visits, and organize internal/external appointments for the Division </li><li>Provide administrative support for internal and public meetings, including meeting set-up, materials prep, agendas, meeting notes, board items/briefing materials, and follow-up on action items </li><li>Serve as a central point of contact and respond to inquiries from school staff, community members, consultants, and contractors </li><li>Serve as the staff liaison to the Bond Oversight Committee, providing administrative and logistical support for its quarterly meetings </li></ul> <p>Office Management & Operations</p> <ul> <li>Oversee daily office operations, including supplies, equipment, technology needs and coordinate with IT/facilities to address needs/resolve issues </li><li>Maintain digital and physical filing systems for contracts, drawings, project documentation and compliance records </li><li>Support onboarding of new team members, consultants and contractors </li><li>Support the development/maintenance of a Bond Planning & Construction Office procedures manual </li></ul> <p>Project Coordination & Communications Support</p> <ul> <li>Assist with project documentation, including change orders, pay applications, submittals and closeout materials </li><li>Help prepare materials and public communications for board meetings, community engagement </li><li>Support compliance with district policies, state regulations and reporting requirements </li></ul> <p>Procurement & Financial Support</p> <ul> <li>Assist with procurement processes, including purchase requisitions, vendor coordination and contract tracking </li><li>Assist with processing invoices, monitoring budget codes, and support financial reporting requirements </li><li>Maintain accurate records for audits, bond reporting, and state/federal compliance </li></ul> <p>Other duties as assigned.</p> <p>SUPERVISORY RESPONSIBILITIES: None</p> <p>In Order to #LevelUp in This Role, You'll Need: (Preferred Qualifications)</p> <ul> <li>Associate's degree or equivalent work experience </li><li>Experience providing administrative support to executives or project teams </li><li>Strong written and verbal communication skills </li><li>Strong interpersonal and organizational skills and the ability to manage multiple priorities </li><li>Proficiency in Microsoft Office Suite, Teams, SharePoint, scheduling tools, project management platforms and office equipment </li><li>Ability to maintain confidentiality and handle sensitive information </li></ul> <p>In Order to #LevelUp in This Role, You'll Need: (Preferred Qualifications)</p> <ul> <li>Demonstrated ability to work with others as a team player to achieve goals set by strategic plan </li><li>Adaptability under pressure and problem-solving mindset </li><li>Ability to maintain confidentiality and handle sensitive information </li></ul> <p>PHYSICAL DEMANDS:</p> <p>The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job. Visual ability requires mono and color vision, close vision, distance vision, depth perception and ability to adjust focus.</p> <p>TERMS OF EMPLOYMENT:</p> <p>Length of work year: 12 months 7.5 hours per day/ 5 days per week; 260 work days</p> <p>Benefits: Health and Dental Insurance are provided.</p> <p>KCPS Defined Benefit Pension plan - mandatory 9% contribution is required from employee and matched by KCPS; Voluntary retirement savings plans are also available.</p>
