Works with and reports directly to the Division's sworn Fleet Administrator.</p> <p>SUPERVISION RECEIVED: Works under the general supervision of a superior; work is subject to review.</p> <p>SUPERVISION EXERCISED: Usually none.</p> <p>ILLUSTRATIVE EXAMPLES OF WORK PERFORMED:</p> <ul> <li>To be responsible for assisting in the performance of duties related to the Division's fleet including such operations as the acquisition, and distribution of vehicles. </li><li>To be responsible for the procurement of repair services, administration of billing and payment, preparation of reports, preparation of vehicle registration, maintenance of rules and regulations for the Division's fleet and personnel. </li><li>To be responsible for maintaining and implementing a system and procedures for the acquisition of new vehicles and disposition of out-of-service vehicles. </li><li>To be responsible for developing, maintaining and administering rules and regulations for the operation of the Division's fleet vehicles. </li><li>To maintain records on operation, maintenance, fuel use, and associated costs for the Division's fleet vehicles. </li><li>To prepare reports as required by state law and as requested by Division personnel. </li><li>To coordinate with state agencies as required on the administration and enforcement of the Division's fleet rules and regulations. </li><li>To coordinate the Division's fleet insurance claims and /or prepare necessary documents for claims resulting from accidents. </li><li>To procure necessary services for the maintenance of the Division's fleet vehicles and administer a work order maintenance and repair system. </li><li>As assigned, to register all state vehicles according to law and to rules and regulations and maintain an inventory of all Division fleet vehicles and their registrations. </li><li>Assign vehicles to Division employees and ensure compliance with Division fleet maintenance schedules. </li><li>Review requests submitted for vehicle repairs on the Division's fleet vehicles. </li><li>Review vendor repair orders/invoices prior to submission for processing. </li><li>Review crash related documentation involving Division vehicles for submission to the State Fleet Administrator and insurance provider. </li><li>Enter data into the fleet central portal database to include vehicle mileage, repair orders, and other related information. Access and review this information as required. </li><li>Communicate with sales representatives from equipment manufacturers and distributors to discuss products and costs associated with automobile mechanics, auto body repair vendors, and related service for Division vehicles. </li><li>Evaluate and recommend products for purchase. </li><li>Maintain an inventory of all Division vehicles. </li><li>Maintain records for E-ZPass transponders and confidential registration plates. </li><li>Perform duties and responsibilities related to the Division's fleet as requested by a sworn superior officer. </li><li>Prepare any required reports/documents as required by State law and requested by the State Fleet Administrator. </li><li>Manage the entry, modifications, and maintenance of any software or databases related to Division fleet operations. </li><li>Research, develop, and provide reports relevant to Division fleet budgetary needs. </li><li>Assist the Division's Administrative Support Specialist with supply inventory as needed. </li><li>To do related work as required. </li></ul> <p>REQUIRED QUALIFICATIONS FOR APPOINTMENT:</p> <p>KNOWLEDGES, SKILLS AND CAPACITIES: A thorough knowledge of standard practices utilized in the procurement and acquisition of vehicles and the operation and maintenance of a motor vehicle fleet; the ability to assist a superior in the formulation of policies, plans, programs, and objectives connected with the administration of general support services and fleet management; the ability to supervise billing and/or payment systems; the ability to prepare clear and concise written reports; and related capacities and abilities.</p> <p>EDUCATION AND EXPERIENCE:</p> <p>Education: Graduation from a high school. College degree preferred.</p> <p>Experience: Such as may have been gained through employment in a responsible supervisory capacity involving the operation and management of a large fleet of vehicles in a government or business unit.</p> <p>Or, any combination of education and experience that shall be substantially equivalent to the above education and experience.</p> <p>Supplemental Information</p> <p>SPECIAL REQUIREMENTS:</p> <ol> <li> <p>Maintain a valid Rhode Island operator's license required to operate Division fleet vehicles.</p> </li><li> <p>Prior to appointment, must successfully complete a comprehensive background investigation conducted by the Rhode Island State Police.</p> </li><li> <p>Strong computer skills with MS Office (Word, Excel, Outlook, PowerPoint, Access), to include the capabilities to create and manage excel spreadsheets.</p> </li><li> <p>Following appointment, must successfully complete a 130-day probationary period.</p> </li></ol> <p>Benefits</p> <p>For information regarding the benefits available to State of Rhode Island employees, please visit the Office of Employee Benefits' website at http://www.employeebenefits.ri.gov/.</p> <p>Also, be advised that a new provision in RI General Law 35-6-1 was enacted requiring direct deposit for all employees. At the time the employee is hired, the employee shall identify a financial institution that will serve as a personal depository agency for the employee.</p>
