<p>Inspectional Services DepartmentDETAILED STATEMENT OF DUTIES AND RESPONSIBILITIESResponsibilities and duties include, but are not limited to:</p> <ul> <li>Receives and process permit applications using Department Permitting Software Application </li><li>Maintaining accurate and organized records, filing documents, and managing electronic database </li><li>Organize and categorize checks for the administrative secretary </li><li>Answering telephone calls and emails and redirecting them to other employees when appropriate </li><li>Receives and process complaints then mail tickets accordingly </li><li>Communicating with applicants professionally, both verbally and in writing </li><li>Prepares documents and certificates as needed </li><li>Monitor office supplies and reporting when stock levels are low to administrative secretary </li><li>Must self-learn and familiarize any software application that is being used or will be used (if any changes) in the Department of Inspectional Services (1/2 year time frame to learn and familiarize) </li><li>Work Hours from 8:30am to 4:30pm with 1 hour lunch break </li><li>Performs any other related duties when so assigned by the Director of Inspectional Services or "Direct Reporting Staff" </li></ul> <p>QUALIFICATIONS REQUIRED AT HIRE The candidate for this position must possess the following qualifications:</p> <ul> <li>Basic proficiency in Microsoft Excel and Word </li><li>Strong verbal and written communication skills are crucial for interacting with citizens </li><li>Ability to work effectively with people from various backgrounds and to mediate disputes </li><li>Familiar in cleaning raw data on excel spread sheet </li><li>Adaptability with computer software - All applications on Microsoft 365 Products, Apps, and Services </li><li>Intermediate ability to navigate through computer </li><li>Intermediate organization skills digitally and physically </li><li>Intermediate time management skills </li></ul> <p>QUALIFICATIONS ACQUIRED ON THE JOB</p> <ul> <li>Maintain an advanced organized work environment </li><li>Strong verbal and written communication skills are crucial for interacting with citizens, City Department Personnel, Court-system personnel and elected officials </li><li>Work effectively with people from various backgrounds and mediate disputes </li><li>Understand the Workflow of Inspectional Service Department </li><li>Basic knowledge of Massachusetts local laws and City of Quincy Ordinances related to building, zoning, health, and safety regulations </li><li>Intermediate proficiency with Microsoft Excel and Word </li><li>The abilities needed to assess information, evaluate options, and choose the best course of action </li></ul> <p>MINIMUM ENTRANCE REQUIREMENTS</p> <ul> <li>Three years experience with customer service </li><li>Two years experience in Microsoft Word and Excel </li><li>Five years experience in using computers </li><li>Three years experience in office organization </li></ul> <p>LICENSE AND/OR CERTIFICATION REQUIREMENTS</p> <p>College Bachelor's degree preferred</p> <p>REMARKSA six-month trial period in employment, also known as a probationary period, is a mutually agreed-upon time frame during which employers and employees can assess if the job is a good fit</p> <p>Application:</p> <p>To apply, please complete a City of Quincy Employment Application and follow the directions on the Job Postings Page.</p>
