<p>Org. Setting and Reporting</p> <p>The Staff Assistant reports and provides general office and administrative support to the Director of the Sustainable Development Unit (SDU), in the Executive Office of the Secretary-General (EOSG), which, under the guidance of the Secretary-General (SG), work as a team pursuing in a cohesive and coherent manner, the SG's vision, priorities and policies. All EOSG units support the EOSG senior officials, as appropriate, depending on the tasks at hand, regardless of which senior official they formally report to, and will work together through a matrix team approach, as necessary, to ensure EOSG leads by example on integration and cross-pillar work.</p> <p>Responsibilities</p> <p>Within limits of delegated authority, the Staff Assistant is responsible for the following duties: • Assists in the overall administration of the Sustainable Development Unit, i.e. provides substantive and administrative support in managing priorities and work flow of the Director and of the work unit; coordinates and monitors multiple and diverse activities and work processes to ensure that management directives and decisions are properly carried out and products delivered in a timely manner; and direct assistant to the Director. • Responds or drafts responses to a wide range of correspondence and other communications; uses standard word processing package to produce a wide variety of large, complex documents and reports; carries out quality control function for outgoing documents; proofreads and edits texts for adherence for format, grammar, punctuation and style. • Compiles and summarizes background materials for use in preparation of reports, briefs, speeches, presentations, etc. • Ensures timely availability of background materials for and assignment of relevant professional staff to meetings. • Liaise with the offices of various senior officials in other units regarding on-going programmes and other administrative matters • Screens phone calls and visitors; responds to moderately complex information requests and inquiries (e.g. answers requests requiring file search, etc.), and as necessary, refers inquiries to appropriate personnel for handling; • Reviews, records, distributes and/or processes mail and other documents; follows-up on impending actions; • Maintains calendar/schedules and resolves related conflicts and competing demands; monitors changes and communicate relevant information accordingly. • Updates and maintains large distribution lists; monitors, prepares and distributes various materials, reports, etc. • Performs a variety of administrative duties (e.g. leave recording, meeting organization, reservations, office supply and equipment orders, etc.), including preparing and/or processing administrative requests/documents (e.g., travel requests, expense claims, vouchers, visa applications, etc.). • Prepares, processes and classifies confidential information. • Performs other duties as assigned.</p> <p>Competencies</p> <p>Professionalism: Knowledge of general office and administrative support including administrative policies, processes and procedures. Shows willingness to learn new technology.</p> <p>Education</p> <p>High school diploma or equivalent is required.</p> <p>Job - Specific Qualification</p> <p>Not available.</p> <p>Work Experience</p> <p>A minimum of seven years of experience in administrative and/or general office support or related area is required. Experience providing assistance to senior officials is required. Experience working in a large and/or high profile office environment is desirable. Experience with editing and proofreading official documents in English is desirable.</p> <p>Languages</p> <p>English and French are the working languages of the United Nations Secretariat. For the post advertised, fluency in English is required. Knowledge of French is desirable.</p> <p>Assessment</p> <p>Evaluation of qualified candidates may include an assessment exercise which may be followed by competency-based interview.</p> <p>Special Notice</p> <p>This position is temporarily available for one (1) year, with possibility of extension subject to the availability of funds. If the selected candidate is a staff member from the United Nations Secretariat, the selection will be administered as a temporary assignment.
