Provide system, administrative, and project assistance and support to the Executive Director of Student Affairs and Registrar. Maintain strong working relationships with students, management, faculty, and staff on Student Success plans/projects. Must perform tasks without direct supervision and maintain confidentiality. Reasonable accommodations may be made to enable qualified individuals with disabilities to perform the essential functions.</p> <p>Responsibilities</p> <p>ESSENTIAL JOB FUNCTIONS (Other duties may be assigned):</p> <p>(60%) Student Affairs</p> <ul> <li>Support and maintain student affair activities, policies, and procedures. Ensure student affairs materials, intranet, and webpage content related to enrollment and retention are accurate and updated on a regular basis. </li><li>Maintain knowledge and serve as a resource for student systems including the Student Information System and student success platform functions that support enrollment and retention processes and efforts. </li><li>Create, run, review, and communicate reports to the Executive Director of Student Affairs and Registrar. </li><li>Maintain and provide updates on student affairs projects, initiatives, and progress to ensure timely and successful completion. </li><li>Provide support for the development, implementation, and management of reports, queries, and requests for all Student Affairs data. </li><li>Serve as the Student Affairs liaison for technology support. Collaborate with other departments to identify solutions for technical issues and concerns. </li><li>Participate in the Graduation Celebration Event and provide support and collaboration with other departments. </li><li>Maintain Student Affairs departmental email accounts and respond and/or forward to other departments as appropriate. </li></ul> <p>(40%) System, Administrative, and Project Support</p> <ul> <li>Serve as the lead for Handshake. Have expertise and knowledge of the functionality of the system and provide training to staff and forward inquiries to staff, faculty, and divisions as appropriate. </li><li>Coordinate administrative tasks and project support for the Executive Director of Student Affairs and Registrar. </li><li>Collaboration with internal and/or external customers; coordinating multiple priorities and preparing to meet deadlines; implementing systems and processes to continuously improve office operations; maintaining files and records; requisition supplies. </li><li>Assist with the deployment of overall Student Success goals. Solve problems, answer questions, provide information, and follow-up on requests. Ensure exceptional customer service is provided to both external and internal clients, to include interaction with students, deans, managers, faculty, and support staff to resolve issues and influence outcomes. </li><li>Provide confidential support on matters related to student concerns and complaints, employee performance, and budget planning/verification. Make decisions as necessary and appropriate. </li><li>Develop and prepare plans, proposals, and reports related to various Student Success functions. Research and analyze the impact of proposals and plans, make recommendations for resolving issues, and help to prioritize projects. </li><li>Follow up and measure the performance of planned activities. </li><li>Research, analyze, and plan for business process changes associated with the implementation and maintenance of student systems. </li><li>Complete and process purchases, purchase requisitions, check requests, and travel authorizations. </li><li>Attend meetings, workshops, seminars, etc., to keep up to date on issues relative to the current and future operations of Students Success and student systems. </li><li>Keep self-up to date on information regarding trends, issues, and future outlooks related to student success. </li></ul> <p>Qualifications</p> <p>EDUCATION AND EXPERIENCE:</p> <ul> <li>Associate degree from a regionally accredited college or university in a related discipline required. </li><li>Two to three years of relevant occupational experience required. </li></ul> <p>CERTIFICATIONS, LICENSURE, REGISTRATION:</p> <ul> <li>Valid state of Wisconsin driver's license required. </li></ul> <p>KNOWLEDGE, SKILLS, AND ABILITIES:</p> <p>KNOWLEDGE</p> <ul> <li>Knowledge of Lakeshore's mission, vision, and strategic direction. </li><li>Prior higher education and/or experience with student information and student success systems preferred. </li><li>Ability to analyze complex information, systems, and data and communicate it well with end users. </li></ul> <p>SKILLS</p> <ul> <li>Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Outlook, etc.) </li><li>Excellent written and verbal communication skills. </li><li>Strong organizational and time-management skills. </li><li>Effective interpersonal skills and customer service skills. </li><li>Strong critical thinking and problem-solving skills. </li></ul> <p>ABILITIES</p> <ul> <li>Adapt quickly to new and changing technology. </li><li>Perform work accurately and thoroughly, with a high level of accountability and attention to detail. </li><li>Work independently, as part of a team, and/or with minimal supervision. </li><li>Present self in a professional, ethical, and respectful manner at all times. </li><li>Use discretion and maintain a high level of confidentiality. </li><li>Prioritize and manage multiple projects or tasks, maintaining deadlines. </li><li>Establish and maintain effective working relationships and relate successfully with staff, students, and all stakeholders. </li></ul> <p>PHYSICAL DEMANDS/WORK ENVIRONMENT:</p> <ul> <li>While performing the duties of this job, the employee is regularly required to sit and talk or hear. </li><li>The employee frequently is required to stand; walk; use hands to finger, handle, or feel objects, tools, or controls; and reach with hands and arms. </li><li>The employee is occasionally required to climb or balance and stoop, kneel, crouch, or crawl. </li><li>The employee must occasionally lift and/or move up to 25 pounds. </li><li>Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus. </li><li>Work environment may require multi-tasking. </li><li>The noise level in the work environment is usually moderate. </li></ul> <p>CONDITION(S) OF EMPLOYMENT:</p> <ul> <li>Employment conditional on completion of a Background Information Disclosure (BID) and a Motor Vehicle Record (MVR) check with the results acceptable to the College. </li><li>Valid State of Wisconsin driver's license is required. </li></ul> <p>This job description is designed to cover the basic functions of the job and is not considered a detailed description of every job duty that is required, other duties may be assigned as needed.
