<p>POSITION SUMMARY</p> <p>The Assistant to the Vice President of Academic Success (VPAS) plays a pivotal role in ensuring smooth operations for the Vice President and division leadership. This position provides high-level administrative and operational support, serving as a key liaison across departments and initiatives. The role requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a dynamic academic environment. The assistant possesses experience in educational settings and strong administrative and project management skills. This person has demonstrated the ability to perform tasks autonomously, with keen attention to detail, and the ability to quickly adapt to unexpected changes. The assistant interacts effectively with constituents and stakeholders inside and outside the college in a variety of settings (face-to-face, online, and over the phone). This person also provides liaison services to college-wide personnel through excellent communication and project management skills.</p> <p>This position reports to the Special Assistant to the Vice President of Academic Success.</p> <p>OVERVIEW OF CCA</p> <p>The Community College of Aurora serves our diverse community by providing high-quality instruction and support services to prepare students for transfer and employment. In addition to traditional degree and certificate programs, CCA offers non-credit professional development courses, customized training, and economic and workforce development resources to employer partners and individual professionals seeking to enhance the capacity and productivity of their workforce or individual knowledge and skills. The college centers diversity, equity, and inclusion and we actively seek to employee partners who want to join us in working to reducing outcome gaps among our diverse student population.</p> <p>DUTIES & RESPONSIBILITIES:</p> <p>Administrative Support & Operational Excellence</p> <ul> <li>Provide administrative support and calendar management to the VPAS and Associate Vice Presidents (AVPs). </li><li>Manage and refine processes and workflows for the VPAS, including document routing, approvals, and internal communications. </li><li>Coordinate travel arrangements and reimbursements for the VPAS and leadership team. </li><li>Assist in the preparation and coordination of weekly leadership reports, ensuring timely and accurate updates that inform executive decision-making. </li><li>Provide excellent customer service with front desk and administrative tasks. </li><li>Create well-written and well-designed documents for distribution. </li><li>Organize and maintain documentation and digital records. </li><li>Supervise student workers as assigned. </li><li>Participate in professional development relevant to the position's responsibilities. </li><li>Contribute to continuous improvement initiatives within the division. </li></ul> <p>Budget Management</p> <ul> <li>Provide budget oversight & compliance by monitoring expenditures, ensuring alignment with fiscal policies, and supporting strategic budget planning for the VPAS division, including budget development and forecasting for the division. </li><li>Process pay forms and purchasing. </li><li>Track and reconcile budget accounts. </li></ul> <p>Project Coordination</p> <ul> <li>Support broader Academy events by coordinating logistics, managing communications, and ensuring alignment with institutional goals and branding. </li><li>Assist in the planning and execution of annual award processes, including nomination tracking, committee coordination, and event logistics. </li><li>Implement and maintain project tracking systems using appropriate software tools. </li></ul> <p>Communication & Liaison</p> <ul> <li>Serve as initial point of contact for the VPAS office, managing inquiries and routing communications appropriately. </li><li>Draft correspondence, presentations, and reports on behalf of the VPAS. </li><li>Coordinate and schedule meetings, prepare agendas, and record minutes. </li><li>Facilitate cross-departmental communication and collaboration. </li><li>Other duties as assigned. </li></ul> <p>REQUIRED QUALIFICATIONS:</p> <ul> <li>Bachelor's degree from an accredited institution, substitutable with years of experience on a year-by-year basis </li><li>Experience in administrative or executive support. </li><li>Proven ability to maintain a high level of confidentiality. </li><li>Excellent interpersonal, communication, and problem-solving skills, with a customer service-oriented approach to engaging with internal and external stakeholders. </li><li>Detail oriented. </li><li>Proven ability to manage multiple tasks, complex projects, and meet deadlines in a dynamic environment. </li><li>Proficiency in Microsoft Office Suite. </li></ul> <p>PREFERRED QUALIFICATIONS:</p> <ul> <li>Experience supporting senior leadership in higher education or academic administration. </li><li>Proven ability to coordinate large scale events. </li><li>Experience managing executive calendars. </li><li>Experience coordinating travel arrangements. </li><li>Strong understanding of budget processes. </li></ul> <p>SUPPLEMENTAL INFORMATION</p> <p>Salary Range:Anticipated starting salary range is $56,284.81 annually. This salary is determined by the qualifications of the selected candidate balanced with departmental budget availability, internal salary equity considerations, and available market information. CCA offers an excellent benefit plan, including generous leave, holiday, and education benefits.
